Our car dealership in Brackenfell has a vacancy available for a Reception / Administrative person who will be responsible for the following:

- _Answer phones, transfer calls and take messages._
- **Open orders**:
 for Sales Executives - AOD petrol, delivery petrol, delivery gifts, smash and grab,
towbars etc.

 Process cash orders and slips.

 Make out fuel orders for parts department when requested.

 PDI orders and handover to parts for processing.
- _Reverse orders and load invoices when applicable._
- **Natis**:
 Receive Natis documents, make copies and let Sales Executive sign it off.

 Let F&I office sign off Natis documents and registration tracking.

 Process Natis documents for payment
- **Registration & Licensing**:
 Process license discs for payment.

 Prepare and submit documents for registration and licensing.

 Process and load temporary license permit to each vehicle and
process for payment.

 Order and sort number plates.
- F_iling: invoices, slips, test drive forms, Natis documents etc._
- _Draw vehicle analyses sheets for the Sales Executives._
- _Draw and filter stock lists._
- _Process and load fixed assets acquired by business._
- _Order stationery and ensure delivery for main showroom and parts/service

department._
- _General assistance: Sales Executives and clients/walk-ins._

**REQUIREMENTS**:

- Prior experience as a receptionist or in a related field: 4-5 year’s minimum.
- Consistent, professional dress, and manner.
- Excellent written and verbal communication skills.
- Good computer skills - Microsoft (various packages), Evolve & IAL (preferred but

not essential).
- Good time management skills.
- Experience with administrative and clerical procedures.
- Able to contribute positively as part of a team, helping with various tasks as required.

**Experience**:

- Administrative office procedures, practices and equipment: 1 year (preferred)
