As a Personal Assistant to the Manager in the import-export company that specializes in sourcing goods from China and India and selling them in South Africa, your role would involve providing comprehensive administrative and organizational support to the manager. Here is a job description that outlines your responsibilities:

- Calendar Management: Efficiently manage the manager's calendar, scheduling appointments, meetings, and travel arrangements. Coordinate and prioritize the manager's schedule to ensure optimal time management.
- Meeting Coordination: Arrange and coordinate meetings, both internal and external. Prepare meeting agendas, take minutes, and distribute relevant documents. Follow up on action items and ensure deadlines are met.
- Travel Arrangements: Make travel arrangements, including flights, accommodation, and transportation, for the manager and other team members as required. Prepare travel itineraries and ensure all necessary arrangements are in place.
- Document Preparation: Assist in the preparation of various documents, reports, presentations, and spreadsheets. Proofread and edit documents to ensure accuracy and clarity.
- Data Management: Maintain and organize files, records, and databases, ensuring easy retrieval and confidentiality. Keep track of important deadlines, contracts, and other relevant documents.
- Research and Analysis: Conduct research on various topics as assigned by the manager. Compile and summarize information for decision-making purposes.
- Administrative Support: Provide general administrative support, such as managing office supplies, handling incoming and outgoing mail, and coordinating office maintenance and repairs.
- Confidentiality: Maintain strict confidentiality of sensitive information and handle it with the utmost discretion.
- Ad-hoc Tasks: Assist the manager with ad-hoc tasks and special projects as required.

**Requirements**:

- Proven experience as a Personal Assistant or similar role, preferably in a managerial or executive setting.
- Excellent organizational and time management skills.
- Strong communication skills, both verbal and written.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Attention to detail and ability to multitask effectively.
- Discretion and professionalism in handling confidential information.
- Ability to work independently and proactively.
