**JOB PURPOSE SUMMARY**
To provide high-quality administrative and clerical assistance to the Chief Executive and other top-level Executives.
**DUTIES AND RESPONSIBILITIES**
- Identify and address the needs of the Chief Executive and perform administrative tasks to ensure our company’s workflow runs smoothly.
- Scheduling meetings, making travel arrangements and organizing daily calendar.
- Plan appointments and internal company events.
- Act as the point of contact between executives and employees/clients.
- Create reports and update internal databases.
- Respond promptly to (internal and external) queries.
- Facilitate internal communication (e.g. distribute information and schedule presentations).
- Liaise with other country offices and executives as a central point for organising visits and meetings.
- Coordinate local travel and accommodation for incoming visitors.
- Manage Company lodge card Corporate Traveller account.
- Manage monthly meetings and venue bookings.
- Manage filing system for the head office.
- Create Purchase Requisitions for purchase orders and liaise with Suppliers accordingly.
- Manage petty cash, credit cards and forex advances.
- Coordinate marketing activities with external providers.
- Organise company events and projects.
- Order branded merchandise.
- Manage Company Facebook account.
- Manage the Chief Executive’s driver and assist with route planning and diary coordination.
- Coordinate Driver’s errands for the Chief Executive and ensure proper execution.
**GENERAL REQUIREMENTS**:
- Police clearance certificate
- Fluent English (other languages also valued)
- Valid driver’s license.
- Own transport essential.

**TECHNICAL COMPETENCES**:
Education/Qualifications:
- Matric and/or a relevant tertiary qualification in administration
Professional Experience:
- Proven work experience (minimum 5 years) as a Senior Executive Assistant, Executive Administrative Assistant or similar role.
- Knowledge of office procedures.
- Solid experience with office management systems, ERPs and MS Office.
- Familiarity with online calendars and cloud systems.
- Experience using office equipment, including printers and fax machines.
- Experience exercising discretion and confidentiality with sensitive company information.
- Excellent organizational skills with an ability to think proactively and prioritize work.
- Familiar with office management technologies.
Ability to commute/relocate:
- Midrand, Gauteng: Reliably commute or planning to relocate before starting work (required)
