- SAP Payroll and/or SAP HR
The aim of an Admin and Easy Roster Manager is to manage and ensure that all payroll input to Head Office is accurate at all times, to facilitate all HR and Payroll reporting, to provide admin support, facilitate training to staff and provide support to the management team within the operations division.
Easy Roster Software and SAP Payroll & SAP HR experience essential for this position.
- Registering new easy roster users
- Registering and licensing the software
- Assist the easy roster clerks
- Setting up meetings with easy roster clerks to make sure the deadlines are met and they are on track
- Checking that the postings are correct (under/over/excessive overtime/grades or ranks on sites)
- Sending final roster to payroll (Payroll executive) every month
- Checking and managing easy roster reports
- Creating operating procedures
- Overtime is checked and queries managed on a weekly basis
- Assist team on eServices and ensuring all orders are loaded on time
- Train all staff on easy roster system
- Recourse allocation and meeting deadlines
- Full management of casual guarding function
- Arrange for guarding between client and manager and load booking onto eServices.
- Complete casual guarding order. When signed and returned, send to finance to invoice. Keep track of amounts invoiced for reporting purposes. Keep track of outstanding orders. Chase outstanding orders/payments. Arrange for processing of refunds if required. Manage contract termination dates on eServices.
- Full management of filing function
- Keep all client files up to date. Ensure that they are updated daily and that all paperwork is easily accessible.
- Keep track of what paperwork is on file and what is outstanding, eg. Contracts, SOP’s.
- Keep files for toolbox talks, make sure that they are regularly updated and all documents are easily accessible.
- Keep files on ALL IOD’s. Make sure they are updated and all documents are easily accessible
- Full management and implementation of annual client increases
- Assist with the annual client increases. Keep track of all changes and generate all increase letters.
- Reports
- Compiling of operational reports: Weekly & Monthly.
- Administrative
- Coordinate meetings as required.
- Minute taking, agendas, typing and distribution of minutes/correspondence from the OPS department.
- Management of vendors and suppliers.
- Management of quotations, orders, CAPEX’s and invoices for the operations department.
- Management of finance/procurement processes.
- Creating and management of all orders - SAP.
- Management of stock distribution.
- Maintaining & distribution of site books.
- Management and collection of stock.
- Monthly stock takes.
- Ensure that ALL disciplinary hearings is captured on HR Manage.
- Maintain AR headcount - includes promotions, termination, staff requisitions, etc.
- Draft communication iro company initiated client cancellations for branches.
- Assist with management of excess leave.
- Assisting with the management of excessive cell phone accounts.
- Screen all documentation / correspondence for the Regional Manager (except personal), prioritize it and obtain required information.
- Delegate correspondence or telephone calls when appropriate.
- Assist Area Managers/Training Instructors with ad hoc tasks as and when required.
- Ensure the Regional Manager office has an adequate supply of stationery including branches.
- Assist with any client complaints which reach the Regional Manager’s office, and ensure they are resolved within the prescribed timelines.
- Ensure that the AR Department and Regional Manager office are cleaned and secured, at all times.
- EHS representative for AR department.
- Client Liaison & Company Image
- Receive and investigate client complaints.
- Ensure non-occurrence of same problems.
- Give full feedback to clients where necessary.
- Desired Experience & Qualification
- Code 8 driver’s license
- Computer Literate (MS Office, advanced Excel, PowerPoint)
- Previous supervisory/management experience preferential
- Easy roster experience essential
- SAP experience advantageous
- Accpac experience preferential
- Listener experience advantageous
