1. Invoices/POD’S
- Making sure all invoices are processed correctly and filed in sequence.

To also make sure that all invoices filed are signed and if they are not signed to have the signed sales

order (delivery note) attached with the invoice.

2. Sales orders (Delivery Notes/ Backorders)

that any Backorders that come in get invoiced and delivered to clients.

3. Orders
- Placing the orders with the suppliers of the parts clients request as well as making sure stock get

topped up when needed.

Keeping the orders that are not complete updated on the Order reports.

Following up on ETA’s and updating the clients.

4. Purchase Orders
- Making sure that all orders that are placed get loaded on system and keeping track of all orders that

come and go.

5. Credit notes
- For any parts that are returned or invoiced that need correcting to create the credit note and make

sure to send to the clients.

6. Cost of Sale
- Booking in all stock that comes in.

Making sure all the needed suppliers are paid and notified.

Making sure that all needed documents are in order.

7. Petty Cash
- To always make sure that there is enough cash for the weeks travels and needed costs.

To keep track of all slips that come and go.

The Monthly report to completed signed and handed in to the account department.

8. Shipments
- That all needed documents are collected and supplied.

All clearing to be done with the forwarding agents.

Costing on the stock is done and ready for when they arrive.

To follow up and make sure all is on time.

Make sure that all tariff codes are in order and updated.

9. EFT/SLIPS
- Making sure all EFT payments and Credit card payments invoices and slips are together and filed for

the accountant collection.

10. Sales/Quotations/Reception
- To assist with sales and/or any quotations that need to be done that the others are not able to get to.

This may also occur when answering phone taking messages or transferring the calls to the required

personal.

11. Stock Takes
- To make sure weekly Bin checks take place.

Every three months Big Stock take must take place.

If there are any variances, they must be investigated and if needed adjustments to be made as well.
