**EXECUTIVE ASSISTANT**

The role of an Executive Assistant is to act as the Executives right hand, performing essential and diverse tasks on time and being resourceful, innovative, and proactive to keep executives on top of their work and organized, thereby enhancing overall business efficiency**.**

**JOB ACCOUNTABILITIES**:

- Provide high-level administrative support and assistance to the Executive Directors and/or other assigned leadership staff
- Welcome visitors and identify the purpose of their visit before directing them to the appropriate department
- Act as the point of contact among executives, employees, clients and other external partners
- Organize meetings, including scheduling, sending reminders to relevant parties and organizing catering when necessary
- Manage executives’ calendars and set up meetings (diary management)
- Arrange travel and accommodation arrangements
- Compile documents, reports and presentations
- Collects and analyzing information
- Invoicing, payment recording and general finance administration
- Take minutes during meetings
- Prioritise conflicting needs, handle matters efficiently
- Provide historical references by developing and utilizing filing and retrieval systems and recording meeting discussions
- Answer, screen and direct phone calls and distribute correspondence
- Prepare material resources and workstations for new starters
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies
- Public relation for the executive management office
- Filing and retrieving corporate records, documents, and reports
- Maintain and keep company information updated
- Project management

**SKILLS AND ABILITIES**
- Organizational skills
- Strategic planning and scheduling skills
- Excellent time-management skills
- Attention to detail
- Advance proficiency in all Microsoft Office products
- Excellent written and verbal communication skills in English
- Ability to take dictation and minutes (including transcription)
- Ability to function well in a high-paced and at times stressful environment
- Ability to multi-task as well as work independently and under pressure
- Ability to type minimum of 50 words per minute

**QUALIFICATIONS**:

- Executive Personal Assistant Qualification an advantage

**EXPERIENCE**
- At least 5 years working experience as an Executive Assistant managing multiple Executives
- Experience with management committee administration
- Experience with financial administration

Ability to commute/relocate:

- Johannesburg, Gauteng: Reliably commute or planning to relocate before starting work (required)
