**Description of responsibilities**:

- To take accountability for the successful completion of Projects assigned. This includes:

- To influence the crafted proposals for customer solutions by defining all project management elements within proposals assigned.
- To influence, verify and execute the estimated timeframes, scope, assumptions, funding/calculated cost and revenue allocation related to the project management effort to deliver on these proposals.
- ** Integration management** - ensure the effective development and execution of project plans including effective controls and communications across program activities.
- ** Scope management** - ensure the effective initialization, planning, definition, verification, delivery, monitoring and control are integrated into the Project Management Plan - this includes Service Readiness which ensures that proposed service elements are identified during scoping and the billing and handover to operations is integrated as key project deliverable.
- ** Time management** - ensure effective definition, sequencing, and identification of dependencies, duration management and time control.
- **Cost management** - ensure effective resource planning, cost estimating, budgeting and control to realise Gross Profit.
- ** Project quality management** - quality planning, quality assurance and quality control as per Gijima standards as well as mutually agreed to with the Customer.
- ** Communications management** - ensure effective management of Stakeholder expectations through integrated management of communications, information distribution, performance reporting and project administration. Smart use of dashboards integrated with Project performance information for all relevant management meetings as well as customer governance forums in a timely, effective and accurate manner for high-level project communications. To contribute to the greater KPI reporting and escalation models.
- ** Internal project governance** - Chair the project's weekly reviews in support of project prioritisation and high-level risk management to adhere to business objectives and KPIs.
- ** Risk management** - ensure effective risk planning is combined with regular reviews on risk identification, qualitative and quantitative analysis, and monitoring and control to ensure risk responses identified are executed.
- **Procurement management** - ensure effective procurement planning, and execution of third party contracts, as well as administration and contract closure. Also ensure effective third party solicitation of quotes/proposals, and resource selection as required.
- ** Processes and tools** - Ensure that Project Management effectively utilises Gijima's standard processes and tools for the successful delivery of Client projects.
- **Stakeholder Management** - Ensure that a practical method of stakeholder management is utilized and maintained for all Client projects.
- To work in the context of the established management systems in support of project and transition management:

- **Management systems** - maintain a simple, but effective management system for the above Project Management functions, which consists of regular meetings, reporting and communication of results.
- **Quality management** - this management system should deliver the assurance of project quality and implements a controlled method of continuous project improvement.
- **Communications plan** - maintain an effective communications plan for all Project stakeholders - Client and Internal. Ensure proactive communications, regular meetings and regular performance reporting, with Escalation management integrated, as a key component.
- ** Relationship management** - establish, maintain and ensure good business relationships with Project Management internally, suppliers, partners and all stakeholders
- To contribute to positive customer relationships through understanding the customer business environment, and the impact and benefits of projects in this environment through
- **Project contract management** - ensure that Project Management develops a good working knowledge of the customers' outsourced contracts, project requirements and the associated commercial and financial arrangements and to initiate changes when required.
- **Customer satisfaction** related to project execution
- ensure that the PMO is supported by proactive communication with regards to the quality of project services or by escalating project issues/risks with the associated corrective actions.
- Responsible for the people management function:

- **Motivation and staff development** - ensure the effective motivation of all project resources, delegation of activities and the development of staff members and teams to enhance both the success of the PMO and Gijima.
- **Performance management** - maintain effective performance management according to Gijim guidelines and policies for all project resources.
