Plant Administrator

A job opportunity has arisen for a Plant Administrator, reporting to Plant Manager. The successful incumbent will be required to provide secretarial services and assistance to the plant manager, and HOD’s as required, and to assist with the HR and Transformation related duties.
**KEY PERFORMANCE AREAS**:
**Plant Secretarial Functions**
- Receive and assist all plant visitors including visiting employees with admin related requests.
- Record and dispatch all overnight mail to other plants in an overnight bag.
- Ensure all bookings/arrangements for off-site conferences/events are made on time.
- Ensure all necessary catering arrangements are made for meetings/visitors.
- Report faults & manage plant stock, stationery - ordering and overseeing of stationery and printer cartridges for the plant.
- Manage all appointments for the Plant Manager & other HOD’s in outlook.
- Coordinate booking of training room and prepare yearly schedule for standard meetings.
- Maintain plant filing system and Travel Arrangements.
**Administration function**
- Administrate T&A on SAP in conjunction with Supervisors & HOD’s for overtime and leave forms.
- Coordinate exception reports, overtime and capture leave forms.
- Man hours - clear all AWOP’s and clock issues on SAP from security forms, clear stop errors on SAP.
- Capture overtime on daily basis in Excel and SAP with reasons and prepare approval report.
- Administrate contractor T&A in consultation with Plant controller.
- Oversee access control. Logging of calls for plant IT issues.
- Action Purchase requests on SAP for the plant manager
**HR Related Functions**
- Monitor consistent awops and inform relevant supervisor/manager.
- Assist with implementation of HR initiative’s/events/ projects.
- Assist with all plant training logistics arrangements.
- Create blue box & liaise with HR & IT to ensure all requirements are in place for all new hires including PPE.
- Distribute Communications for welcome /notice boards, TV’s in canteen, submit plant info for newsletters.
**Compliance**
- Compliance with relevant legal prescriptions and constrains, Compliance with company policy and procedures.
- Compliance with company, statutory and legal requirements by studying and understanding requirements.
- Compliance with SHEQ, enforcing adherence to requirements and advising managements on any needed actions
**QUALIFICATION REQUIREMENTS**:
- Matric plus office Administration/ Secretarial qualification
- Min 3 years office administration experience
- Must be able to work un-supervised / autonomously and under pressure
- SAP experience will be an advantage
- A valid driver’s licence will be an advantage
