**A permanent position exists within the Facilities Management Department for Building Maintenance Supervisor at the IDC Head Office in Sandton, reporting to the Head: Facilities Management Department.**

**JOB PURPOSE**

To provide technical expertise pertaining to the maintenance and operation of the building structure and engineering services to ensure reliable and safe continuous operation thereof in accordance with statutory requirements, quality, safety and regulations in the building.

**KEY RESPONSIBILITIES**

**MAINTENANCE AND OPERATION OF ENGINEERING SERVICES**:

- Ensuring that up-to-date method of preventative maintenance programm is used and updated regularly.
- Ensuring that Corrective maintenance is done timely to minimize impact to the business.
- Ensure maintenance working methods are in line with all SLA and MSA are archived.
- Dispatch, coordinate and supervise contractors.
- Conduct regular inspections with the contractors to ensure compliance and safety.
- Ensuring that maintenance carried out by contractors is done timely and in accordance with the manufacturing and design specifications as per the operating and maintenance manuals.
- Overseeing the quality of work done by the maintenance contractors in the area of responsibility.
- Ensuring effective maintenance to optimize the life span of equipment and ensure no disruption to business operations.
- Keeping control of all items purchased (Spares, Equipment) and prepare RFQ when necessary
- Monitoring and reporting on building performance in terms of utilities and sustainability in line with targets.
- Monitoring the need for upgrades/replacements.
- Provide inputs into operational plans and ensure implementation.
- Respond to emergency calls for maintenance
- Provide weekly status updates of all maintenance tasks
- Preparing specifications with BOQ and scope of work for tenders/RFQs for procurement service/material.
- Plan, Coordinate and Control projects and maintenance as assigned by the Building Management Specialist (BMS).
- Ensure that job cards and invoices are timely processed
- Ensuring that all work is carried out in a safe manner and in accordance with the related policies, process, ISO, SANS, Occupational Safety Act, National Building Regulation, and the Municipal regulations.
- Conduct daily, weekly and monthly inspections of the buildings as per maintenance schedule.
- Ensure office infrastructure (furniture) relocation requirements are handled timeously with minimum disruption to staff.
- Identifying and managing risks within operations.
- Assist in developing and managing technical process and procedures.
- Providing input in developing technical strategies and developing the operating model.
- Managing projects in terms of business requirements, quality parameters, deadlines, and budgets.
- Setting up and managing regular update meetings with maintenance internal support.
- Liaising with relevant stakeholders internally and externally regarding the effective maintenance of the building (Local authorities, Fire department, Maintenance Contractors, Consultants and Suppliers of materials).

**MAINTENANCE AND EFFECTIVE OPERATION OF HARD SERVICES TO THE BUILDING SERVICES INCLUDE**:

- Electrical Services: Transformers, Standby generators, UPS Systems, Medium and low voltage reticulation system including the switchgear, etc.
- Mechanical Services: Lifts and Escalators, Heating; Ventilation & Air Conditioning; building management system (BMS), Hot water generation system, Plumbing, Fire detection and suppression system including pumping and sprinkler systems
- Structural, Building and General Maintenance: Carpentry; Floor Finishes; wall finishes; ceiling, and roof finishes; Doors; Ironmongery and Fence.

**RECORD KEEPING**
Ensuring that technical drawings and manuals are up to date, all official minutes of all contract meetings, and maintenance-related documentation are kept electronically in the contract file and requisite files.

**FINANCIAL PERSPECTIVE**
- Providing input into functional Budget: Capex, Opex and in life cycle cost management
- Monitoring and controlling costs and reporting on variance.
- Monitoring the energy consumption of the building and recommending possible measures to save cost and focus on environmental and greening initiatives.
- Reviewing the cost for spares received from contractors and ensuring that the material cost is market-related.
- Reviewing the costs of work when completed and ensuring that labour and material costs are reasonable.
- Analyzing maintenance operations to find efficiencies that will minimize costs.
- Reviewing payment claims and arranging for payment.
- Obtaining quotations, developing business case for an upgrade, replacements and project that ensures efficiencies.
