**Job Title**: Sales Orderbook Administrator

**Reports to**:Sales Orderbook Coordinator

**Role objective**:provide an effective administrative support service to the Sales Orderbook Management function, along with supporting the Merchandising, Customer Service and Operations teams, in ensuring that customers get the best delivery dates possible for their orders whilst maximising high levels of profitability.

**Key accountabilities**:
SALES ORDERS MANAGEMENT
- Knowledge of order book owner principles e.g. customer services.
- Second point of contact for all customer order book queries and management of Sales Order in Netsuite.
- Co-ordinate and manage all aspects of the order book for all customers. Maintain customer orderbooks with the latest delivery promises and effectively manage the transaction cycle with the customer from order placement to delivery. The focus will be furniture and accessories, but also some involvement in garden sales order management whenever necessary.
- To provide and process information in response to customer enquiry, concerns, and requests about their order.
- Track purchase orders and inbound shipments and update onto reporting systems timely and accurately. Liaising with the merchandising and operations teams to organise workflow to meet customer timeframes and specification.
- Direct requests and unresolved issues to the appropriate CS leader or supply chain and escalate by exception. Respond promptly to customer enquiries regarding availability whenever required.
- Anticipate and manage order delays and effectively liaise with customer to manage expectations.
- Responsible for all spare parts orders management to ensure that all orders are fulfilled in a timely fashion. For that ensure that all transfer orders are created and/ or there is available stock. The process is managed automatically but needs monitoring and reviewing to ensure all is working as it should.
- Bring despatch dates for furniture backorders forward if stock allows it.

OPERATIONS ORDER MANAGEMENT
- Management of Irish Shopify Orders in Netsuite to ensure that the orders are being fulfilled from the correct warehouse. Create transfer orders to ensure that the stock is in the correct warehouse for timely picking and fulfilment for all Irish Shopify Orders.
- Create, monitor and manage all the transfer orders raised in Netsuite between the different stock locations to fulfil any furniture and accessories sales orders.

STOCK MANAGEMENT
- Define Stock Holding in UNASSIGNED STOCK LOCATION in Netsuite for furniture and accessories.
- Create transfer orders from inbound shipments and/ or platform/BJS stock to unassigned stock. Note that the Unassigned stock corresponds to the buffer stock used for spare part orders cannibalisation, resends and issues with platform sync time lags.
- Manage outlet availability on shopify UK to ensure that all outlet stock is being depleted and relevant listings are in place.
- Review stock availability and ensure that all products with stock are displayed on shopify.

**Skills and Qualifications**
- Proven track record of sales orderbook administration.
- Knowledge of office administration responsibilities, ERP systems and procedures.
- Strong communication and relationship building.
- Excellent time management skills and ability to multi-task, prioritise work and work to tight deadlines.
- Good attention to detail; maintaining high standards for delivery, quality & accuracy of information.
- Reliability and discretion.
- Analytical approach to finding solutions to problems that arise.
- Ability to work as part of a team and autonomously.
- Capable of using own initiative; proactive.
- Self-motivated and self-disciplined.
- Excellent written and verbal English skills.
