Front Desk Coordinator

The Front Desk Coordinator will be first point of contact for visitors, couriers and staff of the Institute; and will provide administrative assistance to the Management of the Institute, in a confidential manner.
Minimum Requirements:
- Grade 12 / Equivalent
- At least 3 - 5 years’ experience in an administrative role
- 1 - 2 years client services experience
- High proficiency with MS Office (Outlook, Excel, Word, PowerPoint, and database management)
- Proactive and ability to work well under pressure and in a fast-paced environment
- Excellent communication (oral and written) skills
- Good interpersonal and networking skills

Responsibilities include (but not limited to):
- General office administration including front desk management
- Answering all telephones, route calls, respond to inquiries where necessary & taking messages where necessary
- Opening gate for patients and visitors
- Provide hospitable welcome to visitors
- Liaise with couriers
- Assisting patients when they come for their appointments
- Manage front desk, as well as cleaning staff and fleet (first point of contact)
- Assist in maintaining stock control of cleaning consumables and coffee shop
- Coordinating and scheduling the use of the conference and onsite venues (including auditorium and other offices) for staff and external parties
- Assist with recycling ventures
- Contribute to creating a positive, functional and transformative environment by acting professionally, and actively participating in UCTLI activities.
Additional Information:
- This position will be based in Mowbray, Cape Town
- 6-month Fixed Term Contract
- Full-Time position, 40 hours per week, Monday to Friday
