**Purpose of Job**:
To provide Higher Education Institutional academic compliance administration support to the Centre for Creative Education Registar, Head of Programs and Deputy Registrar.

**FULL-TIME CONTRACT START DATE: ASAP**

**Key Performance Areas**

Higher Education Programs academic calendar management

Institutional regulatory compliance (SETA, CHE, DHET and Dept of Labour)

Academic Programmes administrator compliance

Academic Council compliance coordinator

CCE wellness, health and safety management committee secretariat

Creating, managing and archiving the academic calendar

Term dates (including all CCE closure dates)

Exam dates (including supplementary and deferreds)

Internal and external moderation per programme, per year, and all deadlines and documentation relating to this

Timeous submission of marks internally and to BoE

Managing workflow and establishing and maintaining an archive of all academic administrative data as related to the Office of the Registrar

Job descriptions and Key performance Areas recorded and archived

Results of performance appraisals archived

Establishing and maintaining archive of student information (request from IT/LMS system)

Management of student records and generation of termly and annual student reports (Link to IT/LMS system)

Generation of statistics relating to student performance and throughput

Dates for performance appraisals (Academic, operational and administrative staff)

Dates for Student evaluations of courses and lecturers

Academic programmes compliance

Requesting programme designs and plans (Programme booklet) approved by Head of Programmes

Requesting annual programme schedule linked to notional hours (for each programme) approved by Head of Programmes

Requesting of timetables from each programme (developed by Programme coords/HoDs and approved by Head of Programmes)

Generation and control of certificates for all programmes

Managing and archiving of programme compliance documentation

Academic Council Compliance Co-ordinator

Tabling of the the relevant academic compliance documents and data to the Academic Council to meet academic calendar requirements

Co-ordinating and follow up on Academic Council action items and submission of documentation in preparation for Academic Council meetings

CCE wellness, health and safety management committee secretariat

Scheduling WHSM comm meetings

Preparation of agenda with MD, Registar as Chair of WHSM committee, Head of Programs as Deputy Chair and the Head of Academics

Preparation and dissemination of minutes

Follow up on CCE Wellness, Health and Safety action items against deadlines

**Minimum Requirements**:

- Strong academic administration, project management and calendar management skills with minimum 2 to 3 years working experience within a Higher Education Institution environment
- An understanding or knowledge of Higher Education legislation and regulatory requirements with implications for academic administration compliance
- Experience working with Higher Education students and Academic Faculty members ie Heads of Departments, Program Coordinators and Academic Lecturers
- A positive can do attitude with the ability to learn and want to be trained to be developed within a Higher Education Institution academic administration compliance
- Strong Computer literacy ie Google Suite proficiency as well as Word, Excel and Powerpoint
- Excellent written and verbal communication skills
- Excellent organisational skills
- Strong time management skills

**Advantageous**
- Exposure to Higher Education Learning Management Systems Administration
- A minimum of a qualification in education management or experience with working in a Higher Education Institution (HEI) administration capacity
- Appropriate experience in working with colleagues in an academic environment
