**JOB PURPOSE**

The primary objective of the Receptionist is to present a professional image of the company and deal competently with internal and external clients in a professional manner that positively affects the client’s/ visitor’s perception or call/visit experience. This role will provide administrative support to HR, and Training & Development.

**MAIN AREAS OF RESPONSIBILITY**
- Efficiently answer a multi-line switchboard and direct calls to their destination without delay; monitoring and opening the security gate and front door; welcoming and greeting visitors, clients, or patients; accepting, signing and checking deliveries and post.
- Attend and deal with face to face and telephonic inquiries.
- Maintain the staff and visitors’ logbook and ensure that they sign the logbook and adhere to safety protocols in terms of sanitizing.
- Determine the nature and purpose of external client visits and direct persons to the correct destinations.
- Provide information to assist clients or patients or refer them to appropriate contacts either in the company or elsewhere.
- Be aware of staff movements in and out of the organization.
- Take and relay messages efficiently.
- Sort and distribute incoming mail and co-ordinate the couriers as and when required.
- Provide refreshments for meetings as requested by GMT and management.
- Perform office “GLP” duties such as maintaining the reception area, ensuring that the reception area and meeting room always looks neat and tidy.
- Administrative support in HR as well as training and development areas.

**QUALIFICATION AND EXPERIENCE**
- Grade 12 or equivalent
- Proficiency in using Microsoft Office including Excel, Word, and Outlook.
- Experience in an office environment.
- Experience in managing switchboard, reception, and administration/clerical duties
- Experience in customer service.
- Excellent attention detail
- Operating fax machines, scanners and printers

**SKILLS AND COMPETENCIES REQUIRED**
- Experience and a good working knowledge of administrative procedures and systems such as managing files and records and other office procedures and terminology.
- Operating the switchboard, scanners, fax machines and printers.
- Must possess good interpersonal skills
- Able to give attention to detail, work methodically, accurately and use initiative.
- Excellent oral and written communication skills.
- Excellent time management, prioritisation and organising skills with multitasking ability.
- To exhibit calm, friendly, courteous yet professional look, as well as have a good attitude at all times.
- Establish and maintain effective working relationships with co-workers, managers and senior executives.
