Established group of companies based in Epping has an opportunity for a receptionist with strong administrative and organizational skills to join their highly dynamic team

**Responsibilities**:

- Answering of switchboard
- Receiving guests, clients/producers/sales team, and buyers
- Managing the booking of meeting rooms, arrange refreshments, beverages and lunches for all meetings
- Support and assist the PA
- Assist with daily communication to Sales and Admin Departments
- Reporting to admin staff and salesman, and following up on any general issues e.g. maintenance and IT
- Assist with marketing and promotions
- Responsible for all travel and accommodation arrangements for MD/Shareholders/Management Team/Traders.
- Assist with all presentations for meetings with employees, producers and buyers.
- Drafting meeting minutes from a recorded audio device.
- Petty cash management including daily and monthly reconciliations
- Daily monitoring and managing of Admin display systems
- Managing and ordering of all office supplies
- Reconciling of weekly and monthly payments and reporting to financial department
- Issuing and ordering of branded water, daily and monthly recons to be conducted
- Managing, ordering and issue of all corporate clothing
- Keeping daily stock of office supplies, corporate clothing, marketing collateral and stationery
- Managing all subscriptions
- Stand in for Housekeeping Department, which includes all office duties
- Daily Waybill scanning (including corresponding documents), save in correct folder & rename of each scan
- Daily document scanning (including corresponding documents), save in correct folder & rename of each scan.
- Assist with admin employees functions when employees are on leave.
- Assist with all ad hoc duties as requested from management

**Requirements**:

- 3 - 5 Years’ experience in an administrative or similar role is essential.
- Intermediate to Advance skills in Microsoft Office which includes, Microsoft Excel, Word & Power Point
- Deadline driven and team orientated individual
- Excellent organizational and planning skills
- Attention to Detail - timely and accurate reporting
- Excellent interpersonal skills
- Ability to work under pressure
- Ability to complete multiple tasks / projects with mínimal supervision
- Excellent oral and written communication skills (in English & Afrikaans)
- Positive attitude and professional demeanour
- Must be able to work with confidential information
- Own reliable transport is compulsory
