**Job Description**:
To ensure the administration for the Natural Resources OI business line on all HSE related areas, including legal compliance, client requirements and OI Management system requirements is well instituted and maintained.
- Take full control of the Natural Resources OI document control system, to be in line with the SGS High Level system requirements. (Register, formatting, distributing, controlling of documents)
- Coordinate the collection and hand-out of dosimeters
- To ensure accurate and comprehensive minutes are taken at OI meetings
- Effectively assist locations with admin related queries and concerns relevant OI systems (Such as Stellar, Crystal and Chemwatch). Also ensure that all responsible OI Personnel have been thoroughly trained on the OI Systems.
- Form part of OI Projects and ensure targets are met for all locations within Natural Resources.
- Assist Locations to arrange and ensure Occupational Hygiene Surveys take place every 24 months. Ensure action plans are available for the outcome of the Surveys, and actions are addressed and completed in time.
- Conduct OI training aligned with OIMS and other admin related tasks (KPI etc)
- Report site KPI’s (by obtaining information from the sites, and ensure correct data / information is reported to Global)
- Report and keep track of all Business OI KPI and OI Top Page Objectives on a monthly basis.
- Be the Communication Officer for the Business and communicate OI topics as per Communication plan.
- Assist OI Coordinator with the Reward and Recognition Innovation program
- Record and keep track on a monthly basis of SHE Committee Meetings, Emergency Drills and other Legal Requirements for all locations within Natural Resources.
- Record and keep track of all Legal and Internal appointees for all locations within Natural Resources.
- Order and distribute relevant OI materials, Clothing, stationary etc, and maintain stock sheets of such items.
- Ensure proper onboarding (For Managers and OI Coordinators) is done, by providing access to SGS OI Systems, sharefolders etc. and also give them the necessary trainings to operate these systems.
- Assist with implementation of Global OI Initiatives throughout responsible site where applicable (Safe Start, Stellar, Safety Month, Quarterly Campaigns, Safe Talks, SGS Rules for Life, Stop Work Authority, BBS, etc.)
- Assist OI Manager with any other OI admin related tasks as needed by the OI Manager on a daily basis.
- Coordinate all travel related bookings for the Business OI team.
- Adhere and ensure adherence to all safety requirements of the SGS management system.
- Perform any reasonable tasks assigned to the job holder to support the overall OI strategy
