Job Responsibilities:
Operational Management
- Management of mortal remains by ensuring that remains received and released by staff are accurately recorded as per standard operating procedure.
- Implement and control procedures to ensure that remains received are properly stored and cared for:
- To ensure that remains are timeously prepared for coffining
- To ensure that remains are properly coffined
- To ensure that the correct remains are released to the correct undertaker
- Implementation of policy and risk control measures
- Compile and manage standard operating procedures
- Manage the registering of deaths at the department of home affairs and assist in register deaths when required
- Manage and assist the completing of the required documentation when required
- Manage and assist in the collecting documentation from the relevant doctors, hospitals and government departments when required.
- Manage and arrange repatriation of mortal remains through the AVBOB repatriation department if required.
To compile a month report on the activities and results of the facility
Financial and Admin Management
- Compile an annual budget for the facility
- Management of the allocated budget to ensure that all expenses are within budget
- Implement cost savings measures
- Management and care of assets
- To ensure a weekly stock count
- Responsible for the ordering of coffins and funeral related products from the factory
- Management and control of the vehicles at the facility in line with policy
- Daily reconciliations of all money received
- Daily banking of all cash received
- Ensure that all services rendered and products sold are invoiced
Accurately recording the kilometres travelled with the AVBOB vehicle
- Submitting on a weekly basis all relevant documents to the Settlements Administration Department.
Human Resource Management
Ensure that a signed performance contracts are in place for all direct reports.
- Ensure that a development plan is available for each employee and that it is aligned to the objectives.
- Ensure that the facility is properly staffed.
- Ensure that all personnel are properly trained and qualified to do their jobs
Ensure that all the non-compliance and non-performance issues of direct reports are identified and disciplinary processes are adhered to.
- Conduct coaching and mentoring sessions with direct reports.
- Conduct bi-annual performance appraisals
- Assist HR when a job description of an employee needs to be updated.
- Manage the standby schedule for employees to ensure that there are always sufficient personnel to open the facility when required
Stakeholder Management
- Engage with stakeholders such as the NFDA and SAFPA to increase the number of funeral service providers that makes use of the facility
- Ensure that sales targets are met
- Engage and follow-up with the relevant doctors to ensure that all statutory services are rendered timeously to our clients where possible
- Engage and follow-up with the department of home affairs to ensure speedily registration of death where possible
Risk Management
- Implementation of audit recommendations
- Ensure the compliance with relevant legislation and reporting of any incidents
- Ensure all health and safety requirement are met and liaise with the relevant authorities on compliance (OHS)
- Manage and lead the administration function
- Promoting the image of AVBOB
**Required Skills**:
- management experience : 3 to 4 years
- Knowledge of Funeral Industry : 3 to 4 years
- Technical and Behavioural Competencies : 2 to 3 years
Minimum Qualifications
Relevant tertiary qualification
Valid Driver’s licence
