The kind of work you will be part of
Siyavula works with many schools and individual students who make use of our online services for maths and science. The Operations Coordinator will provide support to these operations as an initial responder on communication channels in the office, through supporting the various team members visiting schools or partner organisations, organising events, and supporting core administration activities related to the work.
What we are looking for
We are looking for an outgoing and highly organized Operations Coordinator to assist with the management of daily business activities and administrative tasks. The Operations Coordinator's responsibilities include, amongst others:
- Assisting with human resource allocation
- Organizing company events
- Arranging and assisting with employee training
- Managing budgets
- Liaising with clients
To be successful as an Operations Coordinator, you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills. Ultimately, an outstanding Operations Coordinator should be able to ensure the smooth daily operations of the business.
Key areas of responsibility include:
General
- Become confident at using Siyavula's practice service and dashboards.
- Develop a familiarity with the Siyavula platform in order to help with troubleshooting user and technical issues arising through office communication channels, including email and telephonic queries.
- Assess and understand our users' experience in order to assist them in using Siyavula products with the resources at hand.
- Process teacher verifications.
- Help build and maintain trust between Siyavula and its users.
Operations
- Assisting with the management of daily operational activities.
- Performing administrative tasks, such as making travel arrangements, answering phones, scheduling meetings, etc.
- Managing office supplies and the maintenance of office equipment and assets for all Siyavula sites.
- Managing internal and external stakeholder relations with a specific focus on operations.
- In conjunction with the Financial Manager, ensure necessary expenditure is approved and managed effectively.
- Managing administration related to competitions and campaigns run by the company for platform users.
- Planning and organizing conferences, events, staff training, and employee engagement activities.
- Preparing and maintaining operational documents and reports.
- Assist with social media scheduling and posting.
- Supporting management in sending out contracts and other documents for signatures.
HR
- Assisting with coordinating the proper allocation of human resources.
- Arranging and assisting with the onboarding of new employees.
- Assisting with operational aspects related to internal and external HR related queries or requests.
- Maintaining employee records.
- Assist with the recruitment process by identifying candidates, performing reference checks and issuing employment contracts.
- Assist with the operational aspects of performance management procedures.
- Schedule interviews as required.
- Coordinate training sessions.
- Support other assigned functions.
Skills and Attributes Required
- Bachelors degree in Business Administration OR equivalent qualification OR 2 years of experience as an HR Coordinator or Operations Coordinator.
- Exposure to Labor Law and employment equity regulations.
- Effective administration and people management skills.
- Exposure to payroll practices.
- Excellent written and verbal communication skills.
- Works well under pressure and is capable of meeting tight deadlines.
- Highly computer literate with capability in G-suite and related business and communication tools.
- Advantage: experience with using Adobe Document Management tools.
- Familiarity with operating social media platforms Facebook, LinkedIn, Instagram, and Twitter.
- Experience with managing travel logistics.
- Strong decision-making and problem-solving skills.
- Meticulous attention to detail and strong reasoning and critical-thinking skills.
- A proven ability to work well in a team.
- Tech-savvy and can demonstrate personal interest in leveraging technology.
- Advantage: ability to learn new systems quickly and be able to develop troubleshooting skills relating to those systems.
- Ability to multitask and prioritise.
- Strong work ethic and ability to conduct remote work efficiently and effectively with minimal supervision.
- Excellent organisational and planning skills.
- Excellent communication skills in conversation and in writing.
- Passionate about improving education both locally and globally and the use of technology.
- Embrace transparency and openness as a general operating procedure.
- Demonstrate high levels of integrity when working with sensitive and confidential information.
