We are looking for an experienced Security Contract Manager to join our team at one of our TSU Guarding sites, namely REMGRO, W-Cape. Objective:
To set and supply guidelines and standards for managers to ensure the effective execution of their duties as per the set agreement between parties. Ensure adherence to TSU policies and standards.
Scope:
To ensure TSU renders satisfactory and professional services to Remgro, W-Cape.
Main Purpose of the Appointment:
To ensure the smooth running of daily operations within the designated area of business; in such a manner as to ensure the continuous provision of a professional security service that meets the requirements of the relevant customers.
Requirements and Experience:
- Tertiary Diploma in Security Management or equivalent will be an advantage
- PSIRA registered Grade A
- Matric Grade 12
- Minimum of 5-8 years' Managerial experience as a Contract Manager in the Security Industry
- Valid driver's license
- Computer literate with strong report writing skills
- Strong planning, leadership, and organizational skills
- Fluent in English and Afrikaans
- Experience in investigations and report writing
- Clean credit and criminal record
- Solid track record of managing security officers and dealing with discipline and conflict management
- Risk Identification & Analysis background
- Excellent guest relations skills and experience in dealing with clients
- Ability to communicate effectively with Executives
- Strong personal initiative and integrity, with the ability to take ownership of tasks and deliver solutions under minimal guidance
- Discretion and ability to handle confidential information/matters sensitively
- Proven collaboration skills – can lead internal/external multi-functional teams and meet externally driven deadlines despite multiple priorities
- Accountable for the implementation, monitoring, and compliance of the TSU Group's Security policies, systems, procedures, and standards
Responsibilities:
A. Assist the GM TSU Guarding in managing and supervising all Security Staff and security activities on the site:
- Ensure compliance with Health, Safety, Environmental, and Quality Policies as per the stipulations of the site and TSU Protection Services according to the Occupational Health and Safety Act.
- Manage the smooth day-to-day running of the relevant sites to ensure profitability.
- Peruse/check all registers daily and sign them off. Occurrence Books must be signed when visiting sites.
- All site Instructions and Booklets to be perused/checked and signed by all staff.
- Measurement of Customer Service Standards to be completed daily.
- Ensure that the Site Inventory is used during any formal handing & taking over shifts on all sites.
- Conduct site inspections for all staff during shift changes to ensure they are briefed, correctly dressed/equipped, and ready for the shift.
- Attend to pay queries and ensure correct payments are made to security officers.
B. Manage work schedules of direct reports to meet agreed plans, contracts, and agreements in a cost-effective manner:
- Ensure Head Count on site is in line with the Contract Schedule.
- Ensure a yearly leave schedule is in place and that leave balances are controlled.
- Process and submit all leave applications as per leave schedule in advance for the upcoming cycle.
- Complete movement forms correctly and submit to Easy Roster.
- Process and submit all pay queries in time for further processing.
- Reduce pay queries month on month.
- Provide weekly labour feedback.
- Prepare duty rosters in time and deliver them to Security Officers on site.
- Check Attendance Registers; all Officers shall sign all registers when reporting and after completing a shift.
- Sign off on Daily Posting sheets before submission to the Easy Roster Clerk, before 10:00 every day excluding weekends and public holidays.
- Authorize necessary timesheets on a monthly basis.
- Analyze Easy Roster system to allocate manpower, over and under postings, and rectify anomalies.
C. Customer Liaison:
- Hold formal Customer Meetings monthly or as per written agreement.
- Forward minutes of the Meetings to the customer within 7 days.
- Include Supervisors in meetings and communicate relevant discussions to all Security Officers.
- Resolve customer complaints/instructions/requests within 24 hours.
- Complete a formal Customer Service Assessment monthly by the customer or file a Preference Letter if the customer does not want to complete a Monthly Assessment.
- Ensure Customer Service Assessments reach the Area Manager before the 5th of each month.
D. Site Visits:
- Submit a site visit plan to the GM monthly reflecting visits for the upcoming month.
- Conduct at least one visit per week during normal hours before 00:00 and one visit per month during after-hours.
- Report site visits with a site visit report to the RM and phone through to Natcon while on site.
- Prioritize observations during visits, including Health/Security observations, equipment availability, dress code adherence, and file maintenance.
- Communicate any deviations from the visit plan to the RM.
E. Ensure Site Instructions, emergency plans, registers, and files are in place according to Customer and Company requirements:
- Update and maintain all Compliance files.
- Ensure adherence to Site Instructions and emergency plans by Security Officers and Supervisors.
- Review Site Instructions quarterly and ensure customer approval annually.
- Maintain correct registers and files on site.
F. Risk Assessments & Audits:
- Review and submit Security & Baseline Risk Assessments during January each year.
- Conduct follow-up assessments based on site risk ratings in accordance with the audit plan.
- Conduct quality audits as per the audit plan.
- Review assessments immediately after an incident and communicate corrective actions to members.
- Conduct Health and Safety Risk Assessments in accordance with Company Policy.
- Ensure Security Officers are aware of problematic physical risk factors.
- Re-communicate and sign off on assessments quarterly or after incidents where processes or risk factors have changed.
- Complete all relevant documentation regarding audits and risk assessments and ensure a proper audit trail.
G. Ensure all Company assets are accounted for, properly handled, safeguarded, and maintained:
- Conduct monthly equipment checks/audits to ensure good working order.
- Forward monthly reports to the relevant logistics/TSU Administrator and AM.
- Send redundant equipment to the logistics department with a justifiable note on damages before removal from the Inventory List/register.
H. Company / Client Vehicles:
- Ensure employees operating company or client vehicles sign off and are reassessed annually as per Company Policies and Procedures.
- Reassess external service providers (K53 Assessment) every 24 months.
- Ensure no member operates a vehicle without assessment or valid driver's license, PDP (keep record of expiring dates) applicable to the vehicle.
- Ensure Company Vehicle Policies and Procedures are signed every six months as a refresher on standards.
- Be aware of the monthly contractual kilometers for vehicles and process any exceeded conditions.
- Inspect vehicles daily, including handover/takeover, and conduct weekly inspections by Supervisors signed off by the relevant Contract Manager.
- Conduct Monthly Inspections countersigned by the AM.
- Save Weekly Pre-Start Inspections and Logbooks with the Administrator every Monday before 10:00.
- Report and repair damages or defects immediately as per company procedures; conduct investigations for negligence.
I. Ensure that the following Policies and Procedures are well communicated and enforced on site:
- Ensure adherence to TSU Protection Services Procedures for Searches.
- Ensure adherence to TSU Waybills Procedure.
- Ensure adherence to TSU Protection Services Procedure for Alcohol Testing & Submission of Disciplinary Document.
- Ensure adherence to TSU Protection Services Procedure for Arrest, Search & Seizure.
- Ensure adherence to the Mandatory Code of Practice for Emergency Preparedness and response.
Remuneration:
Negotiable, depending on skills and experience.
