Requirements
The ideal candidate must have the following qualifications and experience:
- A Diploma or degree in Business Administration, Project Management, Office Administration or equivalent related qualification.
- Three (3) years' experience in technical project office support.
- Fundamental understanding of project processes and project financial processes.
- Good computer skills and experience in the use of MS Office Suite packages (Word, Excel and PowerPoint).
- Good communication skills, ability to multitask, and be able to work independently.
Key performance areas will include, but are not limited to:
Document Management
- Maintain and prepare various project documents efficiently and accurately.
- Draft letters, emails, and minutes while handling data entry tasks.
- Manage and maintain both electronic and manual filing systems for easy retrieval of project documents.
Office Administration and Support
- Track project budgets, expenditure, and facilitate invoice processing.
- Order office supplies and ensure proper resource allocation within budget constraints.
- Conduct information searches to support project decision-making.
- Provide secretarial support to managers and teams as required.
Meetings and Events Management
- Organise and coordinate meetings, ensuring all logistics are handled effectively.
- Draft agendas, book meeting rooms, arrange refreshments, and take minutes for project-related meetings.
Travel Coordination
- Arrange domestic and international travel for project teams.
- Book flights, accommodation, car rentals, and shuttles in line with SANSA's policies.
- Process travel claims and expense reconciliations.
