Financial Stock Administrator

Our client based in Pietermaritzburg is seeking a dynamic Financial Stock Administrator to join their growing team.
Responsibilities:
- Supervise and manage inventory and purchase of incoming goods and stock control based on the company's needs.
- Extract data and provide analysis to management.
- Flagging non-compliances and deviations from the system including pricing deviations, stock shortfalls, overstocking, manufacturing timelines, seasonal requirements, defunct lines, stock nearing sell-by dates, non-rotation of stock, as well as persistent supplier quality issues and other issues relating to the management of stock control.
- Ensuring that the selling prices for the goods are correctly maintained and that all supplier increases are uploaded and that reports are provided to management where prices fall within certain variances.
- Ensure that codes are not allowed to remain on the OMNI system for stock where pricing fluctuates enabling the current prices at the time of order to be used.
- Ensure that all the package sizes for products sold are correctly priced, coded and loaded onto the system.
- Ensure that all packaging for products is correctly updated where rebranding has occurred or suppliers have changed.
- Prepare reports of all stock codes placed on hold.
- Prepare reports and recommend renaming of incorrect stock codes that do not align to supplier brochures and lists and then update once approval and consensus is reached on the correct description and size.
- Ensure that all formulations for manufactured products are maintained and updated regularly.
- Ensure that price lists for customers are maintained with supplier increases and any special prices negotiated are captured on the system.
- Ensure that price increase letters are approved by management and sent out with statements timeously.
- Daily ensuring that all stock control processes are followed by warehouse staff and that decanting processes are followed so that products used in manufacturing are correctly controlled and also reordered timeously and within manufacturer constraints.
- Journal stock used daily including negative report investigations.
- Capture and create new stock codes as stock enters the building.
- Oversee daily returns and swap out books to ensure that this aligns to stock control journals.
- Capturing stock counts, managing stock reports and reconciling stock discrepancies.
- Participating in and reconciling ad hoc stock takes on certain lines and reconciling stock discrepancies in conjunction with request of management to check that controls are in place and are working.
- Managing stock reports for critical lines and overseeing stock counts of these lines on Mondays, Wednesdays, and Fridays before start of trading and reconciling stock discrepancies.
- Supervising the pricing, labelling and stock coding on the floor and ensuring that these are correctly aligned to the stock codes on the system and the supplier stock codes.
- Check the historical formulations and ensure ingredients and pricing is correct and updated regularly.
- Identifying and drawing reports of certain stock types to enable the sales management staff to decide on specials and promotions.
- Reporting on stock movements.
- Preparing reports regarding stock being sold below certain GP levels.
- Preparing sales analysis reports at month end for sales and management meetings.
- Assisting with and coordinating quarterly stock counts.
- Getting stock sheets ready for stock take.
- Making sure all labels on the shelves and warehouse are in order and can be scanned.
- Make sure all the labels in the warehouse and shelves are reading with the correct stock codes and prices.
- Uploading and capturing the stock count data and preparing stock reports thereafter and reconciling discrepancies.
- Maintaining current supplier information on the database.
Key competencies:
- Advanced Excel
- Financial background or qualification
- Experience using an ERP system
- Costing and manufacturing experience
- Accuracy
