The global vetting analyst role is crucial to maintaining a high level of operational integrity by ensuring that our subcontractor network meets rigorous standards and aligns with our company's values.

The primary responsibility is to enforce our subcontractor management policy through a thorough vetting process, which includes assessing each provider's quality, reputation, insurance coverage, business continuity plans, and compliance with legal and regulatory requirements.

By proactively managing these areas, the role aims to reduce risks associated with subcontractor relationships, thereby protecting the company's reputation and reliability.

N.B. this role is designed to complement and support the global vetting effort, serving as an additional resource to enhance the efficiency and consistency of our subcontractor management process. It is important to note that this role does not replace or supersede the existing vetting programs managed by regional teams.

This role will have the day-to-day responsibility for managing the coordination, administration and vetting of global providers in line with internal Legal, Risk and Compliance requirements. The role will support the monthly global watchlist initiative to ensure countries appearing on the watchlist have approved, vetted and insured providers. This role will also support the EMEA, APAC and Americas regions to develop priority vetting lists and assist in vetting providers on those lists.

Task and Responsibilities
  1. Compliance Administration
    • Become an expert on the company's vendor management policies and related processes.
    • Support business colleagues and provide a practical approach to vendor compliance.
    • Work closely with Business Operations management for direction.
    • Act as a liaison between colleagues and teams including legal, risk and compliance.
    • Tracking of due diligence and compliance processes including maintaining compliance logs, records, trackers and approval processes across the project.
    • Organising document translations where required.
    • Escalate non-conformities and document approved deviations.
  2. Provider Vetting
    • Work with the regions to determine a vetting priority list based on the monthly global watchlist, global additions (what to watch) and business needs.
    • Conduct vetting of countries on the vetting priority list (monthly global watchlist, global additions, business needs, etc.).
    • Assist the global providers network and vetting coordinator in creating a repository for all regional/global vetting documents, potentially a Teams folder.
    • Review and document vetting progress with regions on a monthly basis.
    • Assist in monthly watchlist updates.
  3. Providers Network
    • Meet with regional stakeholders on a monthly basis to review updates to the providers network database.
    • Assist the global providers network and vetting coordinator in updating the common operating picture on a monthly basis.
    • Perform a gap analysis of the approved versus unapproved providers on the monthly global watchlist and global additions.
    • Assist regions in researching potential new providers in existing and emerging geo markets.
Requirements
  • Demonstratable administration experience.
  • Ability to understand, summarise and present large amounts of information.
  • Excellent verbal and written English.
  • Excellent word processing and general computing skills.
  • Ability to use Microsoft Office suite Word, Outlook, Excel, etc.
Preferred
  • Fluency in French and Arabic is an advantage.
  • Previous professional services firm or legal services firm experience.
  • Experience of researching due diligence and business intelligence projects and presenting findings to clients.
  • Experience of using SharePoint.
