Job Overview:

Mediboost is a leading digital marketing agency specialising in dental and medical marketing. We are growing rapidly and need a highly organised and proactive Administrative Assistant (Personal & Business) to support the directors with both professional and personal tasks. This role is ideal for someone who is detail-oriented, efficient, and thrives in a fast-paced environment.

What you will do:

Business Support:

  1. Calendar & Inbox Management – Schedule meetings, filter emails, and set reminders.
  2. Document & Data Management – Organise files, update reports, and assist with presentations.
  3. Project Assistance – Support on projects as required by handling administrative tasks such as data entry, research, document preparation, and task coordination.
  4. Liaison & Communication – Coordinate with internal teams and external stakeholders.
  5. Process Improvement – Proactively identify and implement process improvements to enhance administrative workflow efficiency and effectiveness.

Personal Support:

  1. Errand Management – Handle personal tasks such as shopping, booking appointments, and coordinating home services.
  2. Event & Gift Planning – Assist with planning personal events, sending gifts, and reminders for important dates.
  3. Travel & Lifestyle Support – Book travel, dining reservations, etc.
  4. Financial & Bills Management – Track and manage invoices, subscriptions, etc.

What we require:

  1. 2+ years of experience in an administrative or executive support role.
  2. Strong organisational and multitasking skills with attention to detail.
  3. Experience managing calendars, emails, and travel bookings.
  4. Familiarity with digital tools (Google Workspace, Drop Box, Slack, etc.).
  5. Ability to work remotely with minimal supervision.
  6. Available during Sydney business hours (preferred).
