Duties and Responsibilities We are seeking a full‑time Virtual Wholesale Assistant to work directly with our Wholesale Director and support all aspects of our wholesale operations. This role requires exceptional attention to detail, perfect written and spoken English, and strong technical skills across key platforms such as Airtable, Shopify, Excel, Canva, and PowerPoint. The ideal candidate is proactive, highly organized, understands retail math, and thrives in a fast‑paced environment. Key Responsibilities Process and manage wholesale orders through Shopify, Airtable, and internal systems. Create and update line sheets, catalogs, invoice documents, packing lists, and wholesale presentations. Maintain accurate inventory levels and coordinate order flow between production and fulfillment. Assist the Wholesale Director in onboarding new accounts and managing ongoing account needs. Build and maintain Airtable dashboards, databases, and workflows. Develop, update, and audit Excel/Google Sheets files for sales analysis, inventory, and forecasting. Apply retail math concepts (markups, margins, cost analysis, case packs, order quantities). Prepare weekly, monthly, and seasonal sales and performance reports for the Wholesale Director. Communicate professionally with retailers in perfect English. Follow up on reorders, open carts, pending quotes, and customer inquiries. Support outreach efforts and help prepare materials for prospective wholesale accounts. Build strong, positive relationships with retail partners. Design and update wholesale catalogs, line sheets, and visual sales materials using Canva and PowerPoint. Ensure all visual assets are accurate, on‑brand, and up‑to‑date across platforms. Maintain organized digital files, shared folders, CRM logs, and buyer lists. Perform quality checks on data across Shopify, Airtable, and Excel to ensure consistency. Identify operational inefficiencies and proactively recommend workflow improvements. Provide daily support to the Wholesale Director with special projects or administrative tasks. Education Bachelor's Degree (ideally) Experience 3+ years of related experience Required Skills & Experience Perfect English (written and spoken) – strong communication is essential. Advanced experience with Airtable (bases, views, relational structures). Solid experience with Shopify and wholesale workflows. Advanced Excel/Google Sheets skills (formulas, pivot tables, data cleaning). Proficiency in Canva and PowerPoint. Strong understanding of retail math and wholesale margins. Extremely detail‑oriented — accuracy is a must. Highly proactive, organized, and capable of anticipating needs. Very hardworking with a strong sense of ownership and accountability. Ability to handle multiple priorities with speed and precision. Preferred Qualifications Experience working with wholesale accounts or retail businesses. Background in fashion, jewelry, or consumer goods. Familiarity with inventory, production, and logistics workflows.
