Functions Maintain Partner(s) and / or Professionals diary including the coordinating and liaising with relevant parties with regards to meetings and to prepare all documentation for appointments and travel Filing, organising, and maintaining documents, case files and law libraries Opening and closing of legal files in accordance with the firms policies and procedures Organise and maintain legal files in accordance with the firms policies and procedures Assist in handling legal administration requirements Assist in the preparation and processing of legal documents Print all correspondence, pleadings and documents and file same in physical / hard copy files Ensure documents dispatched are accurate Liaise with messenger / driver General office administration and management Dictation typing Thorough knowledge, understanding and experience in employment law. Follow up with clients regarding payments and keep a log of all client contact. Compile and submit weekly outstanding reports (payments from client and report to accounts department once a week) Ensure compliance with FICA Complete time sheets and capture time on CMS / Adarant. Keeping track of attorney time records and billing Monthly invoicing in accordance with Firms policies and procedures. Requirements (Education and Experience) Grade 12 (Matric) Paralegal / Legal Secretarial qualification Minimum of 3-5 years experience as a legal secretary within a law firm Skills (Know-How Job Related Skills Required to Completed Activities) Knowledge of CMS / Adarant Knowledge of Microsoft Office Suite Knowledge of Billback Knowledge of basic numeracy and literacy skills Knowledge of administrative and clerical procedures and systems Knowledge of FICA Behaviours (Interpersonal Skills Required to Complete Activities) Communicate effectively both verbally and written Promote collaboration across functional and geographical boundaries Demonstrate the ability to anticipate and plan Demonstrate customer focus Constructive teamwork Work with speed and accuracy Honesty, reliability, and punctuality Ability to take initiative Be able to work under pressure, and occasionally after hours Well organised and conscientious Job Working Conditions Own transport essential Mon Fri | 08h00 16h30 On-site based in Durban #J-18808-Ljbffr
