About the role
The Fleet Control Administrator plays a key role in supporting the efficiency and compliance of fleet operations within a heavy-duty logistics environment. This position is responsible for maintaining accurate records, coordinating vehicle and driver schedules, ensuring regulatory compliance, processing proof of deliveries (PODs), and providing administrative support to ensure the smooth operation and completion of transport projects.

The Fleet Control Administrator plays a key role in supporting the efficiency and compliance of fleet operations within a heavy-duty logistics environment. This position is responsible for maintaining accurate records, coordinating vehicle and driver schedules, ensuring regulatory compliance, processing proof of deliveries (PODs), and providing administrative support to ensure the smooth operation and completion of transport projects.
Responsibilities:
Fleet Administration & Coordination
- Maintain and update all fleet records, including vehicle licensing, registration, insurance, and driver documentation (licenses, PDPs).
- Schedule and track routine vehicle servicing, inspections, and repairs.
- Ensure accurate driver allocation and trip dispatching in coordination with operations staff.
- Receive, verify, and process all proof of deliveries (PODs) from drivers.
- Ensure timely updating of delivery status and PODs into the system for billing and customer service purposes.
- Flag and resolve discrepancies in delivery documentation promptly.
- Organise and track the full lifecycle of transport assignments or logistics projects from dispatch to final POD processing.
- Ensure all documentation and system updates are complete before closing out a trip or project.
- Maintain control over outstanding trips or unresolved delivery issues, ensuring timely resolution and reporting.
- Schedule certificates of fitness (COF) roadworthy tests, weighbridge checks, and other compliance activities.
- Liaise with workshops or vendors for breakdowns, servicing, and maintenance.
- Track fuel usage, maintenance history, and vehicle performance.
- Generate regular fleet performance, fuel, utilisation, and downtime reports.
- Monitor tracking systems and telematics tools (e.g., Mix Telematics, Car track) for vehicle movement and driver behaviour.
- Collaborate with other departments to provide fleet-related updates or data for planning and audits.
- Serve as a liaison between drivers, operations, maintenance, and clients for trip-related information.
- Monitor driver adherence to schedules and assist with route adjustments or unexpected delays.
- Strong administrative and organisational skills.
- High attention to detail and follow-through.
- Ability to manage multiple tasks and close out logistics projects effectively.
- Strong skills in processing, filing, and system-based updating of delivery records (e.g., PODs).
- Proficiency in Microsoft Office and advanced proficiency in Excel and fleet/logistics software systems.
- Ability to work independently under pressure in a high-volume transport environment.
- South African Unemployed youth between the ages of 18 and 34.
- Must not have participated on the YES programme before.
- Matric.
- Familiarity with road freight regulations and compliance standards.
- Knowledge of South African road transport laws and fleet inspection cycles.
- Experience using POD scanning and fleet management systems.
- Strong work ethic, reliability, and task ownership.
- Excellent time management and project finalisation capabilities.
- Finance systems such as (SAP/SAGE/Quick books)
- Ability to work on advanced (Excel is essential)
- Excellent communication skills (updates and feedback loops)
