Minimun Requirements:
  • Proven experience in procurement, buying, purchasing, and administration role.
  • Experience with Account administration.
  • Proficiency in procurement software, Microsoft Excel, and Quick Easy Preffered.
  • Attention to detail and accuracy in data entry and record-keeping.
Job Responsibilities:
  1. Procurement Management:
    • Coordinate procurement activities to ensure timely sourcing and delivery of goods and services.
    • Assess procurement needs and develop procurement strategies to optimize costs and quality.
    • Evaluate supplier performance and maintain a database of approved suppliers.
  2. Purchase Order Issuance:
    • Generate and issue purchase orders accurately and in a timely manner.
    • Review purchase requisitions to ensure compliance with company policies and budgetary constraints.
    • Verify pricing, terms, and delivery schedules with suppliers.
  3. Supplier Communication:
    • Establish and maintain strong relationships with suppliers.
    • Communicate with suppliers regarding order status, product availability, and any issues that arise.
    • Negotiate pricing, terms, and contracts with suppliers to achieve favorable agreements.
  4. Invoicing and Credit Account Management:
    • Manage the invoicing process, including verification of invoices against purchase orders and delivery receipts.
    • Ensure timely payment of invoices and resolve any discrepancies with suppliers.
    • Monitor credit accounts and facilitate credit applications as necessary.
  5. Quote Management:
    • Obtain quotes from suppliers for requested goods and services.
    • Analyze quotes to determine the best value proposition in terms of quality, price, and delivery.
    • Collaborate with stakeholders to review and select the most suitable quotes.
  6. Order Placement:
    • Place orders with suppliers based on approved purchase requisitions and quotes.
    • Track order progress and follow up with suppliers to ensure timely delivery.
    • Coordinate with receiving departments to confirm receipt of goods and services.
