About the Role:
Sales Admin Assistant


Utilise sharp commercial and analytical thinking along with strong relationship building skills to manage and grow key national accounts across the business.

Stay on top of daily, weekly and monthly sales, identify and solve problems as, when and before they arise. Use strong inter-personal skills to solve root-cause issues with buyers and foster mutually beneficial relationships.

Work closely with the CEO and interface with other heads of departments to accurately forecast sales, provide bi-weekly sales analysis and list new product ranges and brands into stores.


About You:

You have a degree from a reputable institution and at least 3 years of relevant sales experience.

You have learnt and honed your craft in the FMCG sector, where you have been exposed to key account management, regional and national sales, and learnt how big retailers like dis-chem, Clicks and supermarket chains operate.

You have a high degree of digital literacy across many of today's vital business tools including collaborative cloud working, PowerBi, Syspro and exceptional MS Excel skills.

Job specification:

Team management assistance:

  • First point of contact for selected issues relating to sales reps and agents.
  • Providing feedback on various questions and observations from the field.
  • Check execution of instore activities from photographic evidence
  • Updating Planograms images and excel spreadsheets.
  • Rep retail display pictures to match Planograms
  • Comment and review daily. Keep the team up to date with fashion refreshes and product/listing changes.
  • Assisting with the maintenance of the promotional calendar and helping to communicating promotions to the team.
  • Filter trade issues escalate when required.
  • Update reps with all relevant marketing and sales updates.
  • Reviewing group images and feedback where necessary.
  • Maintaining status of rep tags.
  • Analyse and ensure effective implementation of all brand guidelines regarding store layout, visual merchandising, stock, and fixture positioning to maximise customer satisfaction.
  • Handle merchandising and layout queries with guidance from management.
  • Update reps with planograms per retailer.

Clients / Key Accounts:

  • Liaising with key accounts.
  • Follow up on key account matters.
  • Keeping clients up to date with fashion refreshes and product changes.
  • Setting up meetings with Key Accounts.
  • Follow up with retailer buyers and assistants.
  • Assist with new product listings or refreshes.
  • Maintain and manage store layouts.

General Sales Administration:

  • Assisting sales manager with planning and execution of effective sales strategy.
  • Attending meetings and taking minutes (recording) on occasion.
  • Preparing and distribution of agendas and minutes.
  • Coordinating internal and external meetings.
  • Producing presentations at a professional level (PowerPoint proficiency).
  • Typing of letters and correspondence as well as converting documents into PDF.
  • Liaison between operations and sales, and between marketing and sales.
  • Updating ecommerce retailers' listings, codes, pricing, and images.
  • General work ethics
  • Meeting of deadlines
  • Good general interaction in the office with team members, etc
  • Expert computer skills (excel, Word, Power Point=, etc)
  • Online image database & price list management
  • Listing and loading document for online as well as all retailer portal sites.
  • Assisting in sales meeting reports, including downloading/extracting sales data from various retailer portals, and incorporating into sales reports.
  • Updating Commission reports.
  • Track and follow up on all outstanding queries.
  • Assist with expo setup and break down as well as manning the stand on expo days

Pricing assistance:

  • Assisting with Excel price list maintenance and updates.
  • Compiling and communicating correct pricing per customer.
  • Updating competitor price increase analysis document.
  • Updating real estate document.
  • Updating price files and images on various retail portals and platforms (shared with marketing assistant).
  • Assist with update & implementing price files for Price Increases relevant to all customers.
  • Showroom to be kept tidy and updated at all times
  • Showroom do quarterly stock take.
  • Providing and sell out feedback for stores and expos.
  • Sending out price list and product info to new customers

Salary:

R15-30k CTC per year depending on experience and skill
