The duties listed below form the primary responsibility of the Receiving and Dispatch Clerk.

Receiving:

  • Receive all supplier deliveries and mark items for placement in bins by Stores Administrator.
  • Receive all production and repairs items from Stores Administrator into Dispatch.
  • Receive all repair items from external sales reps or agents
  • These are to be clearly marked with Job number tag.
  • Where needed a new Job Card is created for the item. Please check with the repairs technician on naming the item correctly on the job card.
  • All relevant paperwork for received items to be given to the correct department.
  • Receive subcontracting paperwork and items to send to subcontracting

Dispatch:

  • Wrap, package and label all items received into dispatch for Sales orders

Export:
As per documentation and procedure received.

Note:

Items for export must also be:
Photographed once wrapped clearly showing label

Nett weight of each item recorded on PL

Gross weight of the crate with items reordered on PL

General

  • Be able to perform tasks that may fall outside the scope of this job description and that may come up from time to time taking into account any training that may or may not be needed to perform the task.
  • Housekeeping.
(all general cleaning and packaging of stock items) as well as:

  • Weekly or twice monthly stock take on all packaging materials like bubble wrap, dunnage and carboard boxes.
  • All items are disinfected and treated with regards to company's Covid19 policy.

SHARED JOB RESPONSIBILITIES:
The duties listed here are part of the overlap that the Dispatch Clerk Administrator shares with the Stores Administrator and the Purchasing Officer when necessary:

  • Assist in picking urgent shop/order and sales orders needed by production should he be the only person available in the store at the time.


There will be an overlapping of duties especially when a member of the team is absent /leave for an extended period of time.

You have a responsibility to make sure you understand the duties you will be responsible for while filling in for the absent person.
