POSITION OFFERED BIBC DESIGNATED AGENT - CLIENT SERVICES DEPARTMENT -PAARL OFFICE


To implement the end-to-end client service, monitoring and enforcement process for a specific allocated area, therefor contributing to fairness (for both the employer and employee) in the building industry through adherence to the collective agreement.

These position will be based at our Paarl.

DURATION- Permanent (after a successful 6-month probation period)


BASIC SALARY BAND- Package offered will be based on TCOE, and factors such as experience will be taken into consideration.

MINIMUM REQUIREMENTS - Matric / Grade 1- Relevant degree or post graduate diploma

  • An unendorsed driver's license with own motor vehicle, that can be used for work purposes (business travelling costs reimbursed).
  • Proficient in at least two languages that is spoken in Cape Town.
  • Conflict management skills
  • Ability to work without supervision
  • At least two contactable references
  • Basic computer skills
  • Minimum of 3 years' Work experience in a related working environment
  • All applicants must be willing to undergo a medical examination. Due to the requirements of the Occupational Health and Safety Act, certain medical requirements are compulsory when working on a building site

TO YOUR ADVANTAGE WILL BE:

  • Experience as a designated agent at a Bargaining Council.
  • HR/ER experience advantageous

KPA

  • Conduct site visits and site inspections where required - Number of active employers visited in demarcated area as agreed as appropriate
  • Special requests for site visits are conducted timeously (response time)
  • Site inspections are conducted according to the prescribed standards
  • Employees who are not registered with the BIBC are captured on the system
  • Where there is followup required from a site inspection that the followup is done timeously


Workflow compliance
  • Thorough recording of the site inspection via required workflow
  • Completeness and accuracy of captured data
  • Noncompliance is given the appropriate and timeous attention (take action or escalate)
  • Compliance to risk requirements (comply to site protocols to ensure personal safety)
  • Perform general compliance audits (prompted through various mechanisms (e.g., site visits, tip-off's, internal department referrals, requests from sites, company visits) - Quality - accuracy and completeness of variances identified
  • Adherence to time frames
  • CASE MANAGEMENT.
  • Perform case investigations
  • Prepare assessments (related to claims) for industry employees or arbitration lawyers
  • Issue compliance orders / issue subpoena's
  • Facilitate mediations / conciliations related to noncompliance to the industry agreement between industry employees and industry employers
  • Facilitate arbitrations related to noncompliance to the industry agreement between BIBC and industry employers
  • Facilitate industry employer and industry employee registrations
  • Quality and accuracy of preparation
  • Completeness covered all areas and provide all documents
  • Number of cases settled / time to settle cases
  • Client satisfaction (number of complaints / complements)


Workflow complianceas per collective agreement

  • Adherence to prescribed time frames
  • Continuous stakeholder management and progress feedback
  • Arbitration process adhered to in full
  • All stakeholders are treated with the necessary respect
Provide inbound and outbound client service - Queries resolved:

  • Timeously
  • Accurately
  • Escalated where appropriate
  • Education and training for industry employers and employees on the basic conditions of employment and benefits agreed through the collective agreement
(include new employers / external role players / SME's / etc.) - Determine content priorities and provide the right information

  • Appropriate matter of approach (how the message is communicated)
  • Clients understand the benefits / conditions (transfer / level of buyin) as a result of education and training
  • Accurate information is provided
  • Time spent on education / training
  • Stakeholder perception of BIBC is improved and/or positive (audits) client satisfaction
  • Planning and monitoring and following-up on own work - Time is managed effectively
  • Daily, weekly and monthly schedules and priorities are available and agreed with Senior Designated Agent
  • Timeous followups
  • Identify potential red flags and risks
  • Consistently review own progress, quality of own work and compliance, take corrective actions and give quality feedback timeously
  • Identify and resolve work obstacles and issues effectively and quickly
  • Effectively use workflow and systems
  • Comprehensive monitoring all relevant indicators and workflows monitored
  • Variances identified timeously and acted upon
