Duties

  • Answering and managing of the switchboard.
  • Greet and welcome all office guests.
  • Help all walkin customers.
  • Handling all reception administrative duties.
  • Receive, sort and distribute daily mail / deliveries.
  • Order front office supplies and stationery.
  • Perform other clerical receptionist duties such as filing, photocopying, etc.
  • Administrative support related to both back (Debtors, Creditors, etc.) and front (Sales and Marketing, etc.) office functions.
  • Administrative support related to the security (access control), including maintaining key registers of the company.
  • Procurement Support:
  • Provide routine assistance in procurement and sales administration.
  • Data capturing where necessary.
  • Follow up with suppliers on quote requests and orders.
  • Contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Provide feedback to Sales Dept. about order status, changes, or cancellations.
  • Sort and distribute incoming mail enquiries as well as help desk enquiries.
  • Maintaining part information and product codes in the internal system.
