Academic Coordinator/Administrative Assistant

Distance and Online Department


The main purpose of the Academic Coordinator Administrative Assistant is to provide administrative support to the Head of Academics, Head of Operations, Senior Academics, and student and parents for the Distance and Online Learning department.


Job Outline

  • Implement all office administrative tasks of the department.
  • Provide support to the HOD and Senior Academics on administration for academic activities.
  • Prepare order forms for textbooks and liaise with supplier if required by the HOD or HOO.
  • Process all textbook invoices within the stipulated deadline.
  • Process and monitor textbook courier quotes and orders. Liaise with the finance department to ensure that all payment paperwork is fully compliant.
  • QA administration and preparing all QA documents and files in preparation for department audits.
  • Track and monitor deregistrations, deferrals and refunds.
  • Develop an efficient filing system to make updating and retrieving files easier.
  • Filing and safekeeping of all administrative and academic records.
  • Diarise dates for all department meetings, events/functions and ensure minutes are professionally documented, distributed and filed. Set up meeting where required.
  • Update and monitor the student query log for the department and ensure that all custodians respond timeously and queries are closed within the college turnaround time.
  • Quality check student details on Coltech for accuracy.
  • Data capturing on college system, Coltech, where required.
  • Monitor inventory of all stationery required for tests and exams.
  • Ensure that venues are in readiness for tests and assessments.
  • Assist students with queries.
  • Provide support during tests and exams.
  • Serve as a liaison with other departments within Distance and Online.
  • Perform related ad hoc duties as per instruction of HOD and HOO.

Requirements:

  • Diploma in office administration, business management or related.
  • At least 1year solid experience in an administrative or academicadministrative role.
  • Excellent written and verbal communication skills.
  • Excellent people skills and ability to work across crossfunctional teams.
  • Able to work afterhours and Saturdays (during assessment periods).
