  • Inform COO of all Internal and external correspondence that he has not been included in on
  • Responding to urgent requests
  • Managing and reviewing of filing systems
  • Typing and review of Documents
  • Planning and execution of events
  • Ensure knowledge of all facets of company
  • Draw up of management contracts
  • Take Messages and respond or discuss with the COO
  • Constant Prioritizing of all tasks. Daily feedback is critical.
  • Daily dashboard review and discuss
  • Acting as a first point of contact: dealing with correspondence and phone calls.
  • Reminding the COO of meetings in time to attend those.
  • Booking and arranging travel, transport and accommodation.
  • Organising events and conferences.
  • Reminding the manager/executive of important tasks and deadlines.
  • Typing, compiling and preparing reports, presentations and correspondence.
  • Managing databases and filing systems (physical and electronic).
  • Implementing and maintaining procedures/administrative systems.
  • Liaising with staff, suppliers and clients.
  • Collating and filing expenses.
  • Cost control and reconciliation of Projects
  • Assist to coordinate contractors during a project phase.
  • Conducting research on behalf of the manager.

Qualifications and Experience:

  • Minimum qualification, Matric
  • Strong Admin background
  • Exceptional problemsolving skill.
  • Thorough, precise and accurate.
  • Must be able to work under pressure.
  • Proficient in systems, especially in Excel / Sheets.
  • Excellent communication and negotiation skills
  • Good customer service skills
