The Receptionist will be responsible for the following:
Perform Reception and switchboard duties:
Manage switchboard and ensure that all calls are answered in line with SAVC standards.Screening calls and transferring calls to relevant employees.Taking messages and distributing to relevant employees.Receive guests at reception and ensure that they are attended to.Keep a register of daily visitors for security purposes.Assist with receiving and distributing mail.Provide Administration services and office support:Perform administrative duties relating to council, meetings and secretariat functions.Perform duties relating to filing.Provide meeting support duties for sections (preparing agendas and prepare minutes of the sections’ monthly meetings).Assist with execution of committee decisions upon instruction from Registrar.Provide assistance with the upkeeping of files in storeroom.Render general assistance to the Registration section when needed.Perform ad-hoc duties as and when required.Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments.Manage correspondence and assist in planning and arranging events, including organising catering.Draft, format, and print relevant documents.Maintain accurate records.Photocopy and file appropriate documents as needed.Provide Communication services to registrees, stakeholders and the public:Liaise and attend to queries from registrees, stakeholders and the public in a timeous mannerProvide assistance to registrees on the registree portal, annual declaration, CPD and general registration queries.-
