Description:

The Production Intern's role is to ensure the effective coordination and delivery of the summit programme thanks to meticulous preparations ahead of the event. The Assistant plays a crucial part in the smooth running of the programme and the speakers' experience.

Start date: 14th of November 2025

End date: 28 February 2025

Internship Stipend: R7500 per month

Application closing date: 6 November 2025

Desired qualities:

  • Excellent written and verbal communication skills
  • Strong administrative and IT skills
  • Highly organised and detail-oriented

Leading up to the event:

  • Familiarise yourself with the event programme and speakers
  • Assist in gathering speaker mobile numbers, missing photos, bio etc
  • Checking website gets updated with speakers' information
  • Ensure all the speakers are registered and have completed their matchmaking preferences
  • Coordinating session / looping slides with marketing
  • Draft the PowerPoint template
  • Collecting (if any) speaker PowerPoint slides
  • Check the session slides and make sure that the speakers are all correct
  • Check the speakers names, positions, companies and all contact details are in the registration system
  • Coordinate session briefings on Teams ahead of the event for moderators and speakers
  • Ensure the discussion points match each panellist and update the programme with Conference Producer
  • Set up a WhatsApp group for each session to facilitate communication with speakers

During the event:

  • Handover programme each day to the AV team
  • Ensure the session slides and presentations are ready with the AV team
  • Help with the "meet and greet" of speakers by the registration area, ensuring they feel welcomed and supported
  • Escort speakers to the "speaker briefing room/area"
  • Ensure all speakers are present in the conference room at least 15 minutes before their scheduled session start time, using WhatsApp for communication or calling them if they are not around
  • Ensure speakers arrive in the conference room at least 15 minutes before their session start time
  • Report any missing speaker/chairman to the Conference Producer
  • Supervise the process of speakers being prepared with microphones, at least 10 minutes before their session begins
  • During the session, stay by the prod / AV desk and make sure the AV runs smoothly
  • Ring the time bell at the end of the session and signal time to moderator ahead of cut off
  • Manage any queries from speakers and thank speakers after each session
