We're seeking an experienced and detail-oriented
Project Manager
to lead the planning, execution, and delivery of our client projects. This is a hands-on role where you'll own the end-to-end project lifecycle- from initial setup and resource allocation through to successful delivery and client satisfaction.

Key Responsibilities

Project Administration

  • Set up new projects in Asana with complete structure, including tasks, owners and timelines
  • Create and schedule project-related meetings, ensuring all stakeholders are aligned
  • Track and review team time in Toggle, ensuring accurate project and task allocation
  • Maintain comprehensive project documentation and keep all systems up to date
  • Attend project meetings and capture detailed notes and action items

Project Enablement

  • Taking on the operational and administrative workload
  • Ensure day-to-day project activities run smoothly and proactively remove blockers
  • Monitor project plans continuously, ensuring tasks are current and following up on delays or missing updates
  • Lead internal meetings when required, keeping teams informed and aligned
  • Assign incoming client emails and requests to the correct project and team member in Asana
  • Maintain structure, consistency, and organisation across all project workflows

Customer Success

  • Monitor the team/company inbox for client communications and ensure timely responses
  • Route client requests to the appropriate project and communicate internally as needed
  • Ensure clients' needs are captured accurately within Asana and addressed promptly
  • Support overall client satisfaction by helping the team stay organised, responsive and on track

What We're Looking For

Essential:

  • Proven experience in project management and coordination, project administration, or a similar operational role
  • Expert-level proficiency with Asana (or similar project management tools)
  • Strong experience with time tracking tools (Toggle or equivalent)
  • Exceptional organisational skills with meticulous attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and work in a fast-paced environment
  • Proactive problem-solver who anticipates needs and removes obstacles
  • Customer-focused mindset with a commitment to client satisfaction

Desirable:

  • Familiarity with agile or other project management methodologies
  • Previous customer success or client-facing experience
  • Ability to facilitate meetings and capture actionable insights
