About The Role: Sales Administrator

Duties and Responsibilities: Not limited to the listed roles. As an operations coordinator, you assist in ensuring operations run smoothly and efficiently, always with the guidance and direction of the Ops Director.

Job Specification: Sales Administrator for [Company]

To promote the [Company] brand by selling [Company] products, primarily B-BBEE consulting services and related compliance solutions. To ensure focused and productive communication with potential, new, or existing clients, as well as internal and external stakeholders. The role will involve implementing everyday work processes, including cold calling potential clients, following up to resolve client enquiries, and ensuring maximum customer satisfaction.

The successful candidate will be responsible for opening sales leads, selling services to potential clients, and confirming meetings for the sales closing teams. The candidate will also ensure client queries are addressed and resolved by the relevant department in a professional and timely manner.

  • Target per day: 50 cold calls and 2 confirmed sales meetings for [Company] CEO
  • Target per month: 1500 calls and 60 confirmed sales meetings for [Company] CEO

Process: Sales Administrator for [Company]

  • Allocated time for sales calls: 8am to 1pm, with 3 hours dedicated to calls and 30 minutes for the [Company] huddle/daily meeting.
  • Allocated time for all administrative functions: capturing leads, updating the system, sending emails, scheduling meetings, following up on proposals, contracts, invoices, expenses, and payments.
  • Time allocated daily for Nxatel administrative functions as required, no more than 10% of overall duties, or as sanctioned by the [Company] CEO.

Target Earnings:

  • The Employee is employed in the category of Sales.
  • If the Employee reaches the targets set above in consecutive months, the Company may, at its discretion, offer commission, a salary increase, or promotion, or both. Targets will be halved in December and January.
  • If the Employee fails to reach targets, the Company reserves the right to initiate dismissal in accordance with Schedule 8 of the Labour Relations Act 66 of 1995.
  • Sales contracts are regarded as closed when signed and the first invoice issued. Sales targets are calculated from the 1st of the month to the 28th of the following month.
  • Gross profit is calculated and commission is paid in arrears of each consecutive month.

Duties and Responsibilities:

Not limited to the listed roles. As a sales administrator, you will drive sales through leads, update the CRM daily, and efficiently manage the sales cycle with the guidance of the CEO.

  • Build healthy relationships with existing customers and trust with potential customers.
  • Responsible for the Desk and Workflow system [Zoho CRM].
  • Support requests associated with all [Company] services and products.
  • Provide support for internal and external clients and resellers via telephone and ticketing system.
  • Assist in resolving all customer and account-related queries.
  • Ensure new customers are processed as per defined policies and subscriber agreements are secured for billing and collections.
  • Ensure accurate and timely billing for every billing run, following all billing and collection processes.
  • Provide support for meetings and conference room reservations as directed.
  • Assist with coordination and scheduling of orders and amendments for existing clients.
  • Manage the new sales process for each deal, ensuring fast turnaround time and professionalism with each customer interaction.
  • Liaise with 3rd party partners for onboarding and legal matters, acting as a bridge between company legal service providers and [Company].
  • Act as an interface with clients, resellers, and wholesalers.
  • Collaborate to solve problems and resolve spontaneous and unique situations.
  • Ensure delivery of committed services and overall customer satisfaction.
  • Follow company-defined processes for internal and external support.
  • Demonstrate leadership, responsiveness, and creativity in finding solutions.
  • Review invoices, receipts, and work orders/tickets.
  • Ensure appropriate follow-up with customers.
  • Continuously improve processes, systems, and overall client satisfaction.
  • Create training content on Trainual and assist in writing new policies for department efficiency.
  • Provide direction and information to resellers and wholesalers.
  • Inventory and stock hardware.
  • Coordinate Vendor Services (Porting and Managed Ports).
  • Amend data on the online system.
  • Understand client needs and match them to relevant solutions.
  • Maintain an efficient work environment.
  • Screen telephone calls, handle requests, and enquiries.
  • Assist in client retention.
  • Conduct continuous staff training on processes and procedures.
  • Update operational policies and conduct monthly audits.
  • Conduct staff reviews and ensure adherence to the code of conduct.
  • Identify efficient ways to manage ticketing queues and workflows.
  • Provide sales and administrative support to internal and external agents.
  • Communicate with agents regarding the status of orders and outstanding documentation.
  • General operational and administrative work concerning [Company].

Skills and Specifications:

  • Proficient in typing.
  • Preferably fluent in English and Afrikaans.
  • Excellent interpersonal and customer service skills.
  • Tactful in dealing with people.
  • Discretion, good judgment, adaptability, and versatility.
  • Superb organizational skills.
  • Initiative and ability to operate independently.
  • Able to manage a small team.
  • Able to handle customer queries and escalations.
  • Logical and innovative.
  • 4–5 years of experience in Customer Support, Operations, Administration, Internal Sales, or Sales Coordination essential.
  • VoIP and Data knowledge beneficial.
  • Interest in the Internet of Things beneficial.
  • Lifelong learner.
