The Role

You will be the operational backbone across the company — part Executive Assistant, part Operations Manager. You'll design and run recruiting flows, keep marketing operations and budgets tight, orchestrate conferences and events, assist with legal & regulatory workflows, manage merchandise, and handle complex travel. If you thrive on ownership, detail, and moving 10 things forward at once, this role is for you.

What You'll Do

  • Marketing operations & budgeting: Track and reconcile budgets, POs, and invoices; maintain spend dashboards; coordinate growth, brand, and lifecycle campaigns; manage KOLs; ensure brief → asset → launch workflows run on time.
  • Conferences & events: Plan end‑to‑end for industry conferences, partner events, and community events (budget, logistics, booths, merch, shipping, lead capture, post‑event follow‑up and ROI reporting).
  • Recruiting operations: Own end‑to‑end hiring pipelines (manage communications with recruitment agencies, scheduling, candidate experience, reference checks, offer logistics).
  • Legal & regulatory coordination: Maintain compliance calendars and document hubs; liaise with counsel; keep policies, disclaimers current; support KYC/AML and consumer‑protection documentation (in partnership with Compliance).
  • Merchandise management: Forecast, source, and track inventory; coordinate design/production; manage fulfillment for campaigns, partners, and events.
  • Travel & exec support: Complex multi‑stop itineraries, reimbursements, calendar optimization, board meeting prep, note‑taking, task tracking, and deadline follow‑through.
  • Operational excellence: Build SOPs, automate with tools (Notion, Airtable, Zapier, Google Workspace), and drive cross‑team rituals that raise the bar.

What You'll Need

  • 3+ years in operations, EA/Chief‑of‑Staff, marketing ops, or similar. Ideally in a fast‑paced, regulated or fintech/consumer environment.
  • Demonstrated mastery of project management, calendar triage, budget tracking, and vendor management.
  • High discretion and integrity with sensitive information.
  • Tooling fluency: Notion, Excel/Sheets (pivots, lookups), Monday
  • Communication: Clear writer, crisp organizer, proactive follow‑ups.
  • Execution: You ship — on time, with polish, and with contingency plans.

Nice to Have

  • Experience in consumer finance, payments, lending, or other regulated domains.
  • Event program ownership (from booth design to lead‑gen workflows).
  • Exposure to GDPR, KYC/AML, and marketing compliance reviews.
