Intake Coordinator

PJI Law, PLC, is a boutique, service-focused, and fast-growing law firm headquartered in the Washington, DC area. We are seeking a motivated virtual/remote Intake Coordinator to join our Intake team.
This role is a supervisory position within the intake department and supports the firm by ensuring that intake activities are completed accurately, professionally, and on time. Working with the Intake Manager, this role helps oversee the intake team, assists with training new team members, monitors the intake pipeline, and checks calls and data for quality. The position also protects the firm by screening out unqualified leads and helping resolve minor lead or PNC concerns. This is a sales-focused supervisory role that requires strong attention to detail, reliable follow-through, and adherence to firm procedures.
Key Responsibilities & Requirements:
- Support the Intake Manager in overseeing daily intake activities to ensure timely, professional, and accurate handling of prospective clients
- Assist in supervising intake team members, including providing guidance, feedback, and support to maintain performance and service standards
- Help onboard and train new intake professionals as needed
- Monitor the intake pipeline and ensure proper follow-up, accurate data entry, and consistent pipeline management
- Conduct spot-checks of calls and data to maintain quality and compliance with firm procedures
- Protect the firm by identifying unqualified leads and ensuring cases align with the correct jurisdiction and practice area
- Conduct over-the-phone sales conversations and guide prospective clients through the intake process
- Make warm calls and support follow-up efforts to contribute to conversion goals
- Answer incoming calls promptly and respond to client inquiries within required timeframes
- Learn and maintain CRM systems with accurate documentation
- Prepare Client Agreements according to firm procedures
- Identify opportunities to improve efficiency, workflows, and the use of technology
- Demonstrate proficiency with Microsoft 365 and Google Workspace
- Communicate clearly in English, including professional email writing

Technology Requirements:
It is essential that you have the following, or be willing and able to obtain them, prior to your start date.
- Computer with Solid State Drive (SSD), 500 GB storage or better, 16 GB RAM or better, and a CPU/processor capable of running Windows 11 or later (for example, Intel 8th gen processor)
- Separate mouse
- Webcam
- Headphones with a microphone
- Uninterrupted power supply (i.e., UPS, inverter)
- Internet: fiber or equivalent, minimum 100 mbps. Uncapped and 24/7
- Connection must be via Ethernet cable, rather than Wi-Fi. If necessary, it will be required to make adjustments/upgrades to your internet until the connection is appropriate for the work
Compensation:
Structure: $1,200–$2,500 per month, consisting of approximately 60–70% base pay and 30–40% commission.
