ROLE DESCRIPTION:

The Regional Events Coordinator is a hands-on leader responsible for the end-to-end execution of the client's regional events, from meticulous setup to efficient breakdown. This role is central to securing a service level advantage over competitors by ensuring all field execution is timeous and to the clients' specifications. You would be expected to manage and lead the events under your control.

· Effective Event Implementation: Overseeing all logistical and operational aspects of events, including the setting up, taking down, upkeep and control of event POS.

· Operational Compliance: Upholding high levels of professionalism and ensuring all company processes are correctly implemented.

· Stakeholder Communication: Compiling and distributing critical information to both internal and external stakeholders.

·  Team Leadership and Development: Actively manage and lead events, building a competent team capable of consistently achieving principal expectations, ensuring effective staff management, motivation, and training.

KEY PERFORMANCE RESPONSIBILITIES:

Administration Management:

o     Document Control: Check all documents for thoroughness and completeness before submission to the line manager.

o     System Integrity: Ensure that accurate and complete reporting and internal control systems are functioning and that all relevant records are properly maintained.

o     Reporting Accuracy: Compile, administer, and distribute all key required information in a timely and accurate manner.

o     Compliance Documentation: Maintain engineering certificates of all POS and any other required Health and Safety documents.

Client & Stakeholder Management:

o     Client Satisfaction: Ensure maximum client satisfaction by consistently meeting the client's stated objectives.

o     Communication: Timeously respond to and deal with all client communication via email and/or telephone.

o     Professional Conduct: Ensure a professional appearance and conduct is maintained by yourself and your team at all times.

o     Relationship Building: Proactively build strong, professional relationships with both customers and principals.

Event Management:

o     Brand Integrity: Maintain high brand visibility during events while ensuring actions and presentation do not bring the brand into disrepute.

o     Contingency & Reporting: Report on all event activities.

o     Equipment Availability: Ensure that all required equipment is available for upcoming events.

o     Full-Cycle Event Execution: Ensure the effective and timeous execution of all events, including setup and breakdown, in strict adherence to client standards and specifications.

o     Site Coordination: Attend site visits to new venues and/or large events with the client, if required, to facilitate effective planning and logistics.

POS & Asset Management:

o     Condition Reporting: Timeously inform management of the condition of all POS and report any issues regarding shortages.

o     Inventory Control & Upkeep: Ensure all required equipment is readily available for upcoming events.

o     Maintenance & Care: Manage the general maintenance of event Point of Sale (POS) and ensure all events POS is handled with the utmost care while in the company's possession.

Vehicle Management:

o     Complete weekly vehicle inspections.

o     Ensure that all services are carried out as per service book.

o     Ensure that company vehicles are maintained as per company standard.

Warehouse Management:

o     Housekeeping & Professionalism: Manage general housekeeping and deliver high levels of cleanliness and professionalism in the warehouse by adhering to all company processes and procedures.

o     Safety Compliance: Assist in ensuring that all Health and Safety objectives, as set out by the company, are adhered to.

o     Security Reporting: Immediately report any warehouse-related security and/or safety issues to management.

QUALIFICATIONS & EXPERIENCE

· Matric certificate or equivalent NQF level

· Code 10 drivers licence with a valid PrDP

· years of eventing and warehousing experience

SKILLS & ATTRIBUTES

· Attention to Detail: Strong attention to detail.

· Communication: Sound verbal and written communication skills.

· Literacy & Numeracy: Sound literacy and numeracy knowledge.

· Technical Proficiency: Sound computer knowledge including, but not limited to, Microsoft Outlook, Excel and Word.

· Organizational & Problem-Solving: Great organisation skills and problem-solving ability's.
