General responsibilities
- Office operations: Overseeing daily office functions and ensuring the office runs smoothly and efficiently.
- Communication: Answering phone calls, responding to emails, and serving as a point of contact for clients and employees.
- Scheduling: Managing calendars, scheduling meetings and appointments.
- Record-keeping: Creating and maintaining databases, updating personnel and client records, and ensuring all documents are filed correctly.
- Administrative support: Preparing documents, letters, reports, and presentations. Photocopying, scanning, and faxing as needed.
Financial and supply management
- Financial tasks: Performing basic bookkeeping, processing invoices, and tracking accounts.
- Office supplies: Monitoring office inventory, ordering supplies, and ensuring adequate stock levels.
- Budgeting: Assisting with the maintenance of office budgets and tracking expenses
- Other duties
- Onboarding: Assisting with new employee onboarding and coordinating HR-related tasks.

- Supervision: Supervising other administrative staff and delegating tasks.
- Equipment maintenance: Arranging repairs for office equipment and performing basic troubleshooting.
