General Description:

The Operations Analyst & Administrator is responsible for supporting the efficiency, productivity, and performance of the Organisation through effective operational analysis, reporting, and administrative management. This role combines analytical insight with strong organisational and co-ordination skills to ensure smooth day-to-day operations, data accuracy, process improvement, and compliance with Company policies and procedures.

Key Responsibilities:

  • Collecting and analyzing data.
  • Developing process improvements.
  • Creating reports.
  • Collaborating with cross-functional teams.
  • Using statistical modeling and forecasting to solve problems and guide decision-making for management.
  • Managing schedules.
  • Handling correspondence.
  • Maintaining records and databases.
  • Co-ordinating with Teams
  • Tracking metrics and troubleshooting operational issues.
  • Acting as a crucial support link between different departments, staff and clients

Core Responsibilities

Datasets

  • Collect, analyse, and interpret large datasets to identify trends, patterns and inefficiencies in business processes.

Process Improvement

  • Evaluate existing procedures and develop and implement new strategies to streamline operations, increase productivity and reduce costs.

Problem-solving

  • Use data-driven models, statistical analysis and critical thinking to solve operational problems and mitigate risks

Reporting and Communication

  • Prepare detailed report of findings and recommendations for management and stakeholders and present complex data in an understandable way.

Collaboration

  • Work with various departments, including management, IT and operations team, to implement changes and ensure alignment with business goals.

Forecasting

  • Use statistical modelling and forecasting to predict future trends and outcomes.

Operational Oversight

  • Monitor operational metrics, help troubleshoot problems and implement and enforce operational policies and procedures.

Teams and Cross-functional Support

  • Co-ordinate with different departments and provide administrative support to team members to ensure operational alignment and efficiency.

System and Process Maintenance

  • Assist in monitoring system performance, managing user accounts and maintaining technical documentation.

Operational Co-ordination

  • Assist in co-ordinating daily operational activities, track operational metrics and ensure workflows are running efficiently.

Troubleshooting

  • Identify and resolve operational problems, system errors or user-reported issues.

Communication and Support

  • Act as a point of contact for internal and external inquiries, redirecting customers as needed and supporting other departments or project teams.

Minimum Requirements

  • Minimum 2 - 5 Years experience in operational analysis, business administration or a similar role.
  • National Diploma or Batchelor's Degree in Business Administration, Operations Management, Industrial Engineering, or related field.
