Role Summary
The Marketing Coordinator is the operational glue that connects marketing, sales, and operations in our lean, agile team. Working closely with the Head of Marketing, Head of Sales, and Operations Manager, you will coordinate across all marketing activities, from campaign execution and retail activation to in-house production, supplier management, community engagement, media relations, and platform administration.
This role requires exceptional organisational skills, the ability to juggle multiple workstreams simultaneously, and the agility to pivot quickly in a startup environment. You'll work across internal teams, external partners, influencers, retailers, and suppliers to ensure seamless execution while managing the day-to-day operational details that keep our brand growing.
Key Responsibilities
Trade Marketing & Retail Execution
- Develop and manage trade marketing calendars by market and channel (offline retail, e-commerce, distributors)
- Coordinate production and distribution of point-of-sale materials, product education tools, and visual merchandising guidelines
- Support launch plans for new product introductions, promotions, and retail campaigns
- Monitor retail execution through store checks, photo audits, and field feedback
- Serve as the bridge between marketing and retail/distributor partners, ensuring timely delivery of assets, samples, and launch materials
Campaign Management & Coordination
- Execute the rollout and tracking of integrated brand campaigns across digital, retail, social, and PR channels
- Coordinate creative production, including photoshoots, videos, packaging, and marketing materials
- Manage product launch strategies end-to-end, including positioning, go-to-market planning, and amplification
- Create studio traffic schedules to manage timelines and ensure projects are executed efficiently by the creative team
Brand Partnership Management
- Activate and manage brand partnerships and collaborations with strong marketing amplification
- Coordinate joint campaigns, co-branded content, and partner events
- Execute partnership logistics, including sourcing, production, and bringing activation ideas to life
- Manage community partner relationships and ambassador programs
Community, Influencer & Media Relations
- Coordinate influencer partnerships, seeding programs, and content collaborations
- Manage community engagement initiatives and advocacy programs
- Support media relations activities and press material coordination
- Build and maintain relationships with key community stakeholders
In-House Production & Supplier Management
- Coordinate in-house production needs, including sample production, packaging, and marketing materials
- Manage supplier relationships for production, printing, and fulfilment
- Source and procure materials needed for campaigns, events, and activations
- Oversee quality control and timely delivery of produced materials
Digital & Content Execution
- Partner with internal teams to manage digital campaigns, social execution, and CRM initiatives
- Create email campaigns, automation flows, and blog content to support digital brand rollout
- Maintain brand consistency and storytelling across web, email, and social platforms
- Manage content calendar ownership and social media execution
Platform & Internal Administration
- Manage Shopify platform updates, product listings, and e-commerce marketing initiatives
- Maintain marketing asset libraries and internal documentation
- Coordinate internal administrative tasks that support marketing operations
- Manage marketing tools, subscriptions, and system updates
Marketing Initiatives & Event Management
- Coordinate marketing activations, brand events, and experiential programs
- Execute event logistics from concept through post-event analysis
- Manage general sample production and distribution for seeding, partnerships, and events
Sales & Marketing Alignment
- Collaborate with sales teams to customise marketing toolkits and support materials
- Develop sales and marketing collateral that aligns with commercial objectives
- Track campaign performance to optimise promotional strategies
Performance & Analytics
- Analyse trade marketing performance, promotion ROI, and campaign effectiveness
- Compile regular marketing dashboards and insights for internal teams
- Monitor consumer trust and advocacy metrics; recommend improvements based on data and feedback
Budget & Resource Management
- Ensure marketing budgets are adhered to, and spend is effectively allocated
- Track expenses across campaigns, partnerships, and production
Requirements
Experience & Background
- 3–5 years of experience in marketing coordination, brand activation, trade marketing, or campaign management, preferably in wellness, lifestyle, FMCG, beauty, or consumer goods sectors
- Experience working across both digital and physical retail channels
- Proven ability to manage multiple projects simultaneously with competing deadlines
- Experience coordinating with suppliers, vendors, and external partners
Skills & Capabilities
- Exceptional organisational and project management skills
– able to manage numerous moving parts without dropping balls - Excellent communication and stakeholder management abilities across all levels
- Self-motivated with strong time management
– able to prioritise and deliver independently - Analytical capability with comfort using data to inform decisions
- Proficiency in MS Office / Google Workspace; experience with Shopify, email marketing platforms, or project management tools is essential
- Understanding of digital marketing, social media, content creation, and e-commerce operations
- Startup agility
