Purpose of the Role:

The Purchasing Specialist is responsible for managing and executing procurement activities in line with organizational policies and legislative prescripts. The incumbent will ensure accuracy and compliance in purchase orders, supplier management, and inventory processes, while maintaining efficiency and integrity across the supply chain.

Key Responsibilities:

  • Review, verify, and process
    purchase orders
    and
    requisitions
    in accordance with approved budgets and policies.
  • Identify and prevent
    false purchase orders
    and
    noncompliance
    with procurement regulations and legislative requirements.
  • Conduct reconciliation and verification of discrepancies between purchase orders, invoices, and requisitions.
  • Collaborate with internal stakeholders to assess procurement needs and provide effective sourcing solutions.
  • Manage and maintain relationships with vendors to ensure quality, timely delivery, and adherence to contract terms.
  • Support and oversee
    Inventory Management
    and
    Disbursement Processes
    to ensure accurate stock and payment records.
  • Utilize
    SAP
    and
    BAS
    systems for processing, reporting, and tracking purchasing data.
  • Contribute to process improvements and ensure adherence to supply chain best practices.
  • Maintain accurate documentation and records of all purchasing activities for audit and compliance purposes.

Minimum Qualifications:

  • Undergraduate qualification (NQF Level 7)
    in one of the following fields:
  • Auditing
  • Accounting
  • Finance
  • Purchasing Management
  • Supply Chain Management

Experience Requirements:

  • Minimum of
    five (5) years' experience
    in
    Supply Chain or Purchasing Management
    .
  • Proven experience in:
  • Reviewing and processing purchase orders.
  • Vendor and inventory management.
  • Detecting false purchase orders and ensuring compliance with legislative prescripts.
  • Reconciling purchasing discrepancies and managing disbursement processes.
  • Collaborating with internal departments for procurement planning.
  • Minimum of
    two (2) years' experience and working knowledge of SAP and BAS
    systems.

  • Strong understanding of
    procurement and supply chain management principles

  • Knowledge of relevant
    legislation, policies, and regulations
    governing public procurement.
  • Excellent analytical, verification, and reconciliation skills.
  • Proficiency in
    SAP
    and
    BAS
    for procurement processing and reporting.
  • Strong attention to detail and accuracy in data management.
  • Good interpersonal and stakeholder engagement skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Ethical conduct, integrity, and accountability.
