Remote Bookkeeper

Established U.S. boutique bookkeeping firm seeks an exceptional QuickBooks Online expert to independently manage 20-25 clients. This role requires someone who can deliver flawless work with minimal oversight.

POSITION OVERVIEW

This isn't an entry-level position - we need someone who can handle complex, multi-client bookkeeping with 99%+ accuracy while working independently. You'll be our primary bookkeeping specialist with full ownership of client deliverables. If you need hand-holding, this isn't for you.

ROLE STRUCTURE

• Weekly rhythm: Touch every client once per week (~5 hours per client monthly)
• First week of month: Intense reconciliation and month-end close for all clients
• Daily work: Rotate through 4-5 different QBO files, maintaining perfect accuracy
• Zero client interaction: Work directly with owner only
• 35 hours/week: Focused, productive hours with predictable workflow

KEY RESPONSIBILITIES

Weekly Tasks:

• Categorize transactions across 20-25 QBO files (service + e-commerce)
• Maintain unique COAs, classes, and projects for each client
• Download/attach documentation following SOPs
• Keep all clients current on weekly rotation

Monthly Close (non-negotiable deadlines):

• Complete ALL reconciliations: bank, credit card, Stripe, PayPal, Shopify, Amazon
• Post journal entries independently (accruals, deferrals, depreciation, prepaids)
• Tie out merchant settlements to deposits
• Close all books by deadline

REQUIRED QUALIFICATIONS

• 3+ years QuickBooks Online - actual hands-on experience, not "familiar with"
• Managed 10+ clients simultaneously - proven ability to context-switch
• E-commerce expertise - Shopify/Amazon accounting, payment processor reconciliations
• Month-end mastery - complete closes without asking how
• U.S. GAAP understanding - accrual accounting, revenue recognition, sales tax
• Extreme accuracy - you catch errors others miss and check your own work

TECHNICAL REQUIREMENTS

• External monitor setup (mandatory - laptop screen alone won't work)
• Reliable internet with load-shedding backup
• Google Sheets proficiency (formulas, pivots)
• ClickUp or similar project management experience

COMPENSATION & STRUCTURE

• R39,000-42,000/month for 35 hours (R256-276/hour)
• Paid in USD if preferred (via Wise)
• Stable, long-term work
• 2-hour daily overlap with owner required

Someone who loves structured workflows and takes pride in perfect books. You work independently but communicate proactively when issues arise. You're looking for stable, predictable work where your accuracy and efficiency are valued over speed.

• QBO technical assessment (you'll navigate a real QBO account)
• Discussion of complex scenarios you've handled
