Responsibilities:
* Case File Management: Oversee the end-to-end lifecycle of disciplinary and litigation case files, ensuring meticulous record-keeping and timely progression. This includes opening, registering, coordinating, preparing documentation, and archiving files.
* Administrative Excellence: Provide high-level administrative support, including drafting correspondence, managing communication with external parties, and coordinating essential materials for hearings and legal processes.
* Records Integrity: Maintain and update a central repository for all legal documents, ensuring accuracy, accessibility, and adherence to established filing protocols.
* Debtor Management Support: Assist in the recovery of outstanding debts by monitoring accounts, following up with debtors, preparing statements and demand letters, and maintaining accurate records of all interactions and arrangements.
* Compliance & Information Management: Support the management of requests and queries related to data protection and access to information legislation, ensuring prompt identification, mitigation, and reporting of compliance matters.
* Team & Project Support: Contribute to departmental planning activities, provide support for ad-hoc projects, and assist during periods of staff shortages, demonstrating adaptability and a proactive approach.
Requirements:
Must-Haves:
* Diploma in Law, Paralegal Studies, or an equivalent qualification.
* Minimum of three (3) years of experience in a legal or similar administrative role.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Strong attention to detail and a commitment to high accuracy in all tasks.
* Excellent verbal and written communication skills in English.
* Demonstrated ability to manage time effectively and meet deadlines consistently.
* Professional attitude and a proven ability to maintain strict confidentiality.
* Strong interpersonal skills, enabling effective collaboration within a team and independent work.
Nice-to-Haves:
* Experience with debtor management processes.
* Familiarity with data protection legislation (e.g., POPIA) and access to information principles (e.g., PAIA).
* Proactive problem-solving mindset and a results-driven approach.
* Ability to interact professionally across all organizational levels.
