Job Purpose:

The Creditors Clerk & Financial Assistant will be responsible for performing the full creditors function and providing administrative and financial support to the Finance Manager and Debtors Clerk. This includes processing, reconciliations, expense management, and assisting with light HR-related tasks.

Key Responsibilities:

Creditors Function:

  • Perform the full creditors function, capture invoices, match purchase orders, process payments, and maintain supplier records.
  • Reconcile supplier statements and ensure all accounts are accurate and up to date.
  • Resolve supplier queries efficiently and maintain good relationships.
  • Prepare and maintain monthly creditors reconciliations and age analysis reports.
  • Ensure compliance with company financial policies and procedures.

Financial Administration & Support:

  • Assist the Finance Manager and Debtors Clerk with daily financial processing and reporting.
  • Prepare and process expense reconciliations, credit card, and petrol card reconciliations.
  • Support month-end closing by preparing journals, reconciliations, and supporting schedules.
  • Maintain organized and accurate financial filing systems.

HR Support (as needed):

  • Provide basic HR administrative assistance, including maintaining staff files, leave tracking, and document management.
  • Assist with payroll preparation and verification of timesheets or claims.

Requirements:

  • Matric / Grade 12 (essential)
  • Certificate or Diploma in Accounting / Finance (advantageous)
  • Minimum 3 years' experience in a Creditors Clerk role – experience is non-negotiable
  • Sound knowledge of bookkeeping and accounting principles
  • Proficient in MS Excel and accounting software (e.g., Quickbooks, Sage, Pastel, or Xero)
  • Excellent attention to detail and accuracy
  • Strong organizational and communication skills
  • Ability to work under pressure and meet strict deadlines
  • Professional and proactive attitude
  • Salary - Market related
