Introduction:

The Senior Fleet Scheduler is responsible for managing and overseeing the daily scheduling of transport for cargo, ensuring the effective allocation of vehicles and drivers to meet client demands. This role requires supervising and coordinating drivers, scheduling truck departures and arrivals, managing client communications, and addressing operational challenges such as breakdowns and delays. The Senior Fleet Scheduler will also oversee the night shift team, manage truck allocations, and ensure compliance with company policies and regulations.

Duties & Responsibilities

Fleet Scheduling and Management:

·      Supervise, manage, and schedule all aspects of fleet transportation, ensuring efficient allocation of vehicles to meet client and operational requirements.

·      Plan daily truck schedules and re-allocate resources as necessary to accommodate changes in load requirements or breakdowns.

·      Monitor the daily progress of truck loads and ensure all trucks are on track to meet delivery times.

·      Retrieve and allocate daily stops from the Assistant Fleet Controller.

·      Review and assess the available fleet to identify trucks that may have operational issues and proactively communicate potential delays.

·      Conduct driver debriefings, monitor driver performance, and ensure drivers adhere to company policies and operational procedures.

Client and Driver Communication:

·      Maintain regular communication with clients, ensuring their transport needs are met and providing updates on the status of deliveries.

·      Handle client inquiries related to estimated times of arrival (ETAs), delays, and other transport-related issues, providing timely and accurate feedback.

·      Ensure client systems (such as load sheets or online tracking) are updated with relevant information, such as load bookings, ETAs, and changes in delivery schedules.

·      Manage any issues related to cargo shortages, damages, or delays, including reporting incidents and ensuring corrective action is taken.

·      Supervise the night shift staff and address any operational issues that arise after hours, ensuring smooth operations and timely resolution of problems.

Fleet and Driver Supervision:

·      Supervise and manage the night shift, ensuring that duties such as temperature control, route accuracy, and loading schedules are adhered to.

·      Ensure drivers follow correct procedures, including proper routes and timely departures to avoid delays at delivery points.

·      Conduct daily planning for drivers, ensuring correct loads and assisting with directions when necessary.

·      Prioritize trucks with exceptional needs, such as those requiring services, certificates of fitness (C.O.F.), repairs, or polygraph tests.

·      Monitor fleet board updates, ensuring all scheduled trucks are accounted for, and changes or adjustments are made as needed.

·      Oversee drivers' performance and ensure compliance with company policies, including adherence to driving hours, safety regulations, and load requirements.

Operational Support and Administration:

·      Oversee administrative tasks related to fleet management, including preparing reports, updating fleet boards, and ensuring all load-related documentation is accurate and filed.

·      Assist with handling disciplinary matters involving drivers or staff, conducting investigations, and providing support during disciplinary hearings if needed.

·      Provide feedback to the workshop team regarding vehicle damages, repairs, and service requirements.

·      Manage the transport of cargo during weekends, including supervising weekend shifts, inspecting temperature accuracy, and ensuring timely offloading and deliveries.

·      Ensure that all trucks and trailers are compliant with regulatory requirements, including obtaining and updating necessary certifications, such as C.O.F. documentation.

·      Ensure accurate recording of damages, breakdowns, and other incidents, and take necessary steps to prevent recurring issues.

Pallet Control and Load Management:

·      Ensure pallets are correctly accounted for, using the required tracking systems and reporting any shortages or damages to the relevant departments.

·      Provide feedback to the pallet department and liaise with clients regarding pallet returns or damages.

Desired Experience & Qualification

Education:

·      National Senior Certificate (Matric), preferably with subjects related to logistics or transportation.

·      Relevant qualification in logistics, supply chain management, or transport operations is advantageous.

Experience:

·      At least 2 years of experience in fleet scheduling or fleet management, preferably in the transport or logistics industry.

·      Experience in supervising teams or shift operations, managing driver schedules, and coordinating with clients.
