The Role
We are seeking a highly organised and proactive
Project Administrator
to join our team. You will play a key role in ensuring the smooth delivery of projects, maintaining accurate records, and driving efficiency across the organisation. This role requires excellent attention to detail, strong communication skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Coordinate and manage multiple projects simultaneously, ensuring timely delivery within budget.
- Serve as the primary point of contact for clients, providing updates and addressing queries.
- Maintain accurate project documentation, including plans, timelines and status reports.
- Coordinate internal resources and staffing to meet project requirements.
- Identify process improvement opportunities and implement strategies to increase efficiency.
- Conduct quality assurance checks to ensure project deliverables meet Kibo's standards.
- Identify and manage potential risks impacting project timelines or deliverables.
- Support team training on project management tools, methodologies, and best practices.
- Liaise with external vendors and suppliers to ensure project support and performance.
- Assist leadership in developing strategic roadmap phases aligned with business and client goals.
- Ensure each project phase delivers measurable value to clients.
- Provide ad hoc administrative support to the operations team as needed.
Key Requirements
- 2-3 years proven experience in project coordination or administration, preferably in IT or an MSP environment.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Bilingual: English and Afrikaans.
- Proficiency in project management tools and software.
- Familiarity with project management methodologies (Agile, Waterfall).
- Ability to work independently, prioritise tasks, and thrive in a fast-paced environment.
Qualifications:
• A relevant bachelor's degree (e.g., BCom in Project Management) or equivalent.
• Preferably a postgraduate qualification in Project Management (Postgraduate Diploma/MSc) or related field.
Other Requirements
- Own Vehicle
- Valid driver's licence.
- South African Citizen
- Willingness to travel within South Africa if required.
- Availability for on-call support after hours as part of a standby roster.
Training & Development
- Initial training in ConnectWise (our office management system).
- Continuous self-driven development to enhance skills, knowledge, and experience
