Lodge Security is a leading security solutions provider with strong operations across South Africa, the UK and Ireland markets. We are seeking an exceptional Executive Assistant to support our senior leadership team managing our UK and Irish operations from our Cape Town headquarters.

Position Overview

We are looking for a highly skilled and experienced Executive Assistant to provide strategic administrative support to Lodge Security's senior leadership team overseeing our UK and Ireland operations. This role requires exceptional organisational skills, understanding of UK/Irish business culture, and the ability to manage complex schedules and communications between South Africa and the UK/Ireland. Based in our Cape Town office, you will be the central coordination point for executive activities across these key markets.

Key Responsibilities

Executive Support & Administration

  • Provide comprehensive administrative support to C-suite executives and senior leadership team members globally
  • Manage complex, multi-time zone calendars and scheduling for senior executives
  • Coordinate and arrange domestic and international travel, including visa requirements, accommodation, and detailed itineraries
  • Prepare executive briefing materials, presentations, and reports
  • Handle confidential correspondence and sensitive information with discretion

UK & Ireland Operations Coordination

  • Serve as primary liaison between Cape Town-based senior executives and UK/Irish stakeholders, clients, and team members
  • Coordinate virtual and in-person meetings (managing GMT/BST time zones)
  • Facilitate communication between Cape Town headquarters and UK/Irish offices
  • Manage executive communications with UK and Irish partners, regulatory bodies, and key clients
  • Coordinate with UK/Irish-based management and ensure seamless operational communication

Strategic Project Support

  • Support strategic initiatives and special projects as directed by senior leadership
  • Conduct research and compile information for executive decision-making
  • Track project timelines and deliverables for senior management initiatives
  • Coordinate board meetings, shareholder communications, and corporate governance activities

Office & Operations Management

  • Oversee executive office operations and maintain professional standards
  • Manage vendor relationships and coordinate services for executive requirements
  • Plan and execute corporate events, client meetings, and team gatherings
  • Maintain filing systems, databases, and ensure information accessibility

Required Qualifications

Education & Experience

  • Bachelor's degree in Business Administration, Communications, or related field preferred
  • Minimum 5+ years of executive assistant experience, preferably supporting C-level executives
  • Previous experience supporting executives with UK/Irish business operations highly desirable
  • Understanding of UK and Irish business culture, time zones, and working practices preferred
  • Security industry experience advantageous but not essential

Technical Skills

  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Experience with video conferencing platforms (Teams, Zoom, WebEx)
  • Proficiency in calendar management and scheduling tools
  • Database management and CRM experience preferred
  • Basic understanding of travel booking systems and expense management
  • Developing understanding of AI

  • Understanding of UK and Irish business etiquette and communication styles
  • Strong organizational and time management abilities
  • Ability to work effectively with UK/Irish time zone differences (GMT/BST)

  • Problem-solving skills and ability to work independently
  • Flexibility to work late afternoon/evening hours (Cape Town time) to align with UK/Irish business hours
