Project Coordinator

Outsourced CFO is looking for a Project Coordinator to join the Programmes Department. You will ultimately plan, organise, facilitate and project manage programme events and programmes.
Reporting directly to the Head of the Programmes Department. Job responsibilities will include, among other:
**Project & Deliverable Management**:
- Inform internal staff of changes in allocations, necessary to update capacity planners when requested by the Head of Programmes. Make changes to Zoho codes when required.
- Frequent check-in with client facing team on progress report on the market readiness route. Rendering advice/input on bottlenecks.
- Initiate the Gap Analysis.
- Assist the Head of Programmes to build out and maintain good relationship with Network Partners (Service Providers, Funders).
- Assist the Head of Programmes with reports, necessary to keep stakeholders up to date on program performance.
- Track staff members, consultants/panellists’ performance on task completion, through tracking timeous completion of deliverables and quality of deliverables that meets OCFO standards and client expectations.
- Quality Review market readiness route reports compiled by staff, consultants, and panellists to ensure they meet the KPIs of the Programme. Delegate formatting work where required to the Programmes Assistant to ensure quality final reports.
- Quality review end deliverables of the Finance Readiness Route (Gap Analysis/Summary Reports) through spell check, font and layout of reports done by the CFOs and service providers where requested.
- Review timesheets/invoices of panellists and approve payments as per panellists’ payment policy/agreed milestone budgets. Budgets are pre-agreed and prepared by the Head of Programmes, who has further oversight and second approval of invoices.
**System, data analysis & reporting**:
- Weekly Head of Programmes meetings preparations, and reporting.
- Sit into Weekly L10 meetings and contribute to completing rocks, tasks, and IDS sessions.
- Contribute to the Programmes Department culture and sit in on daily rhythm meetings.
- Implement, monitor, and report on Programmes dashboards.
- Continuous development of a Programmes playbook/SOP for improved programs execution.
- Continuously improving the Programmes department business unit by eliminating recurring issues and directing the standardisation of its processes and tools.
- Give guidance to the Programme Assistant for Programmes dashboard changes.
**People Management**:
- Bring resource requirements and staffing allocation changes to the attention of the Head of Programmes.
- Arrange weekly check-ins with Client Facing Staff on Market Readiness Programs, to oversee milestone completion.
- Manage the availability of panellists on programmes.
- Arrange weekly check-ins with Client Facing Staff on Finance Readiness Programs, to oversee milestone completion.
- Track staff members performance on task completion, through tracking timeous completion of deliverables that meets OCFO standards and client expectations. Bring growth areas to the attention of HR Department (training) for areas of improvement (proposed monthly client check-ins).
**Planning & rollout of new programmes**:
- With direction received from the Head of Programmes, assist with the Call to Action to ensure that programmes receive sufficient programme mandate fit entrepreneurs for all programmes.
- Together with the Marketing Team, and receiving direction from the Head of Programmes, manage the marketing collateral, campaigns and online presence required to ensure great relationships with Network Partners and to ensure that programmes receive sufficient programme mandate fit entrepreneurs for all programmes.
- Assist the Head of Programmes with programme innovations and manage staff capacity utilisation and allocation for all programmes.
- Assist the Head of Programmes to manage Staff/Consultants who are matter experts in their fields, to create relevant training to OCFO staff, for engagements to be done in-house.
- Assist the Head of Programmes to manage the Programme and Operations Assistant's planning & roll out of new programmes duties. This includes guidance on layout of Google Forms; Guidance with signing of entrepreneur contracts/debit orders and invoices. Guidance on Zoho Codes rollout and amendments.
- Ensure that Milestones and agreed milestone hours are communicated to panellists before commencement of programme.
- Rolling out Zoho codes and implementation of a program’s dashboard.
- Ensure relevant training allocated to staff allocated to programs before commencement of milestones.
- Manage the signing of contracts and receipt of programme deposits for all programmes within a reasonable time.
**Planning & coordinating events**:
